Job description
We are seeking an energetic, highly motivated individual to be a medical office assistant for our multi-surgeon clinic. You will be the main point of contact for our patients and surgeons. You will be responsible for fostering high levels of customer service to enhance the overall patient experience while acting as a liaison between the patients and other members of the team. You will be the first impression for current or potential patient experiences. We are looking for someone to be able to grow with us as we continue to expand our team.
Job Duties
- Answer phones, triage phone calls and direct to appropriate person, follow up with voicemails
- Check, sort, forward and answer emails
- Scheduling and confirming clinic appointments, arranging investigations, and booking OR procedures
- Manage patient referrals and patient information database
- Coordinating physician's calendar with respect to surgeries, meetings, clinics, and teaching sessions; as well as preparing call schedules
- Act as liaison between patients, administrators, nurses, physicians, etc.
- Receive packages/deliveries and distribute to appropriate area(s)
- Prepare any outgoing mail by drafting correspondence, securing parcels, arranging pickup
- Greet and welcome patients upon arrival
- Escort patient to consult/photo area/exam room and ensure that appropriate practitioner is made aware of patient’s arrival and location
- Any other duties as assigned, including tidying exam/treatment areas and errands/purchasing for clinic
- Weekly submission, reconciliation, monitoring, and reporting of AHS and WCB claims
Requirements and Qualifications
- MOA certification from an accredited institution or higher preferred
- 1+ years of MOA work experience
- Excellent planning, organization, problem solving and time management skills
- Must be able to work independently and as a team member
- Must be able to communicate effectively both verbally and in writing
- Must have strong and effective communication and interpersonal skills for contact with patients, physicians' office, and staff
- Proficiency with Microsoft office (Word, Excel, Outlook)
- Experience working with hospital/clinical patient information system such as Point of sale (Vagaro), EMR (Accuro and EPIC ConnectCare), would be an asset.
- Proactive with team focused approach and attention to detail
- Approaches challenges with enthusiasm and positive energy
- Experience with AHS and WCB billing considered an asset
