Job Title: Legal Receptionist / Legal Administrative Assistant

Job Type: Full-time, Permanent

Schedule: Monday to Friday, 9am - 5pm

Work Location: In-person (Toronto, ON)

About Us

Salehi Law Professional Corporation is a boutique Personal Injury law firm looking to hire a full-time Legal Receptionist / Legal Administrative Assistant for our head office located in Toronto near the intersection of Don Mills Road and Eglinton Avenue.

Key Responsibilities Include:

- Call Handling & Intake: Answer all incoming calls; redirect to appropriate staff with caller name, contact number, company, and exact reason for call. Take detailed messages and perform initial client screenings as needed.
- Document & Email Processing: Review, save, and scan incoming faxes and shared inbox emails into each client’s file on a daily basis. Update the appropriate file handler if required.
- File & Disbursement Management: Scan invoices to client files and update their disbursements list. Assist with opening/closing client files, updating case logs, and physical/electronic filing and file retrieval.
- Client & Administrative Coordination: Call clients for missing or updated information, schedule various appointments for clients, and mail correspondence/invoices out to appropriate parties.
- Case Support: Update client documents with pertinent information and provide general assistance with Accident Benefits (AB) and Tort matters.
- Office & Hospitality Maintenance:



Greet clients and visitors warmly, maintain a professional reception area, ensure the reception area and boardroom are tidy, clean tables daily, and bring beverages to clients as requested while they are in the boardroom.
- General Administrative Support: Order office supplies, format documents, and provide general clerical assistance to lawyers and paralegals.

Qualifications & Pre-requisites

- Experience: Must have at least 1 year of Personal Injury receptionist or legal assistant experience.
- Technical Proficiency: Strong working knowledge of Microsoft Office (Word, Outlook, Excel) and comfortable adapting to practice management software.
- Communication: Excellent verbal and written communication skills with a professional telephone manner.
- Organization: Ability to prioritize tasks, multi-task efficiently under pressure, and manage deadlines with high attention to detail.
- Discretion: High degree of professionalism and strict adherence to client confidentiality.
- Employment Background: It would be beneficial if the ideal candidate had experience working in a medical or medico-legal environment.

Work Location: In-person only at our Toronto office (Don Mills Rd & Eglinton Ave). This is NOT a remote working position.

Job Type: Full-time

Pay: $19.00-$22.00 per hour

- Toronto, ON: reliably commute or plan to relocate before starting work (required)
