Medispine is looking for a warm, organized, and reliable Client Follow-Up & Community Support Coordinator to help us deliver consistent client communication and strengthen the practical work behind reactivation, recall, scheduling follow-up, and community activities.
This is a focused part-time role for someone who enjoys connecting with people, following through on details, and helping a health and wellness clinic deliver a polished client experience. You will work from assigned follow-up lists and approved clinic processes. You will not provide clinical advice, diagnose, or recommend treatment. Your role is to make it easy for clients to receive accurate administrative information, book an appropriate appointment, and stay connected to the clinic.
What you will do
You will make reactivation calls and follow up with clients who have not recently booked. You will respond to assigned current inquiries and follow up on cancellation, recall, and post-assessment scheduling opportunities using approved communication channels and timelines.
You will document outreach accurately in the clinic’s approved systems, record outcomes and next steps, respect communication preferences, and escalate clinical, privacy, complaint, insurance, or pricing-exception questions to the appropriate team member. You will also support practical community tasks such as event invitations, registration follow-up, approved newsletter preparation, local partnership coordination, and approved social-media or direct-message follow-up.You will work closely with the full-time Client & Community Coordinator and clinic leadership. You will not supervise staff or be responsible for overall clinic operations. Your focus is consistent, high-quality follow-through.
Schedule and work arrangement
The position is expected to require approximately 10 to 15 hours weekly. Hours can be flexible around assigned outreach and follow-up windows, but timely responses and reliable completion of assigned tasks are essential. Appropriate outreach, documentation,
and communications work may be completed remotely using approved clinic systems and privacy-safe processes. Community events, partner visits, and outreach activities are completed off-site when scheduled. Occasional in-clinic or reception support may also be scheduled in advance.
What we are looking for
You are fully bilingual in French and English, warm, professional, highly organized, and comfortable initiating respectful conversations by phone, email, and approved digital channels. You have strong follow-through, excellent attention to detail, accurate documentation habits, and the judgment to know when a practitioner or clinic leader must take over a conversation. You show leadership through ownership, reliability, and a willingness to improve the process around you, even though this role does not supervise staff.
Sales or relationship-based client-conversion experience is an asset, as is formal administrative education or training, including office administration, business administration, medical administration, or comparable programs. Experience in client service, appointment booking, reception, administrative support, call follow-up, healthcare administration, community support, or customer success is also an asset. A genuine interest in health, chiropractic care, natural therapies, and wellness is important. You must be comfortable using email, calendar or scheduling tools, spreadsheets, and approved social-media platforms.
Pay: $24.00-$28.00 per hour
