Activities Coordinator

Full-Time | Permanent
$23.00 to $26.00 per hour

Position Summary

Reporting to the Administrator, the Activities Coordinator is responsible for developing, implementing, and coordinating a comprehensive social, recreational, and volunteer program for residents. The role focuses on enhancing quality of life through meaningful engagement, resident centred programming, and special events that reflect resident interests, abilities, and cultural diversity. The Activities Coordinator also supports volunteer coordination, community partnerships, and promotion of activities within the home.

Tasks & Responsibilities

Program Development and Delivery

- Develop, implement, and evaluate leisure and recreational programs designed to meet the physical, cognitive, emotional, social, and spiritual needs of residents.
- Oversee the coordination and delivery of diversified recreation programs and services for residents at the site.
- Evaluate program effectiveness, recommend improvements, and implement approved changes.
- Ensure residents are provided with a wide array of activity choices, including but not limited to arts and crafts, music and entertainment events, social gatherings, physical exercise programs, cognitive and educational activities, library services, therapeutic recreation, intergenerational activities, religious and spiritual programs, and community involvement.

Resident Assessment and Documentation

- Complete an initial assessment for each new resident, including social history, physical ability, behavioural considerations, spiritual preferences, significant relationships, family dynamics, and language abilities.
- Provide ongoing documentation of resident participation, progress, and changing needs through observation and one-on-one engagement.
- Maintain all resident records in accordance with ORCA and Retirement Homes Act standards.

Operations and Administration

- Perform administrative duties including attending and scheduling meetings, preparing reports, monitoring expenditures, and maintaining accurate records.
- Complete all monthly reports as required by the Administrator and organizational policy.
- Manage the departmental budget, including monitoring expenditures and reconciling activity petty cash on a monthly basis.
- Prepare projected and actual budgets for special events for Administrator approval.
- Organize and participate in fundraising initiatives that support the activity program.

Leadership and Supervision

- Oversee the activities of staff and volunteers, including planning, assigning, training, directing, and monitoring duties.
- Provide input to the Administrator regarding employee performance evaluations.
- When applicable, participate in hiring, training, mentoring, scheduling, and performance management of the Activity Assistant.

Volunteer and Student Coordination

- Coordinate and implement the volunteer program.
- Participate in the recruitment, orientation, scheduling, training, and development of volunteers and students.
- Coordinate a volunteer recognition event during Volunteer Awareness Month.
- Community and Organizational Support
- Serve as a liaison and resource to community agencies and external organizations.
- Assist the Administrator with resident move in activities and orientation.
- Ensure all compulsory corporate or organizational events are delivered in accordance with annual program expectations.

Program Planning and Engagement

- Plan, organize, and submit a monthly activity calendar to the Lead Activity Coordinator for review and approval, ensuring a variety of activity choices.
- Ensure residents are offered opportunities to participate in multiple varied activities each day.
- Introduce new and innovative activities on a regular basis.




- Ensure all residents are encouraged to participate in activities on an ongoing basis.
- Provide opportunities for residents to participate in the planning, delivery, and evaluation of monthly activities.
- Implement and lead the monthly activities and events schedule with support from volunteers, residents, and other resources.
- Regularly evaluate the success of activities through resident feedback, satisfaction surveys, and benchmarks determined in collaboration with the Administrator.

Community Relations and Promotion

- Coordinate involvement of community groups, entertainers, school groups, and other community resources.
- Promote the activity program and the residence through the development and distribution of monthly calendars, newsletters, and event communications.
- Post monthly activity calendars throughout the residence.
- Create and distribute flyers, posters, and invitations for special events to residents, families, and external contacts as appropriate.
- Maintain positive relationships with community organizations.
- Invite community organizations to utilize the residence as a community resource when appropriate.

Resident Experience and Communication

- Create an enjoyable, relaxed, and engaging environment within the residence that supports resident morale and well-being.
- Communicate with residents on a regular basis.
- Facilitate Resident Council activities where appropriate.

Operations and Collaboration

- Work collaboratively with the Manager of Food Services to coordinate menus for special events.
- Manage delivery of local newspapers to resident subscribers when applicable.
- Participate in conferences, workshops, and instructional courses as required or approved.
- Participate as an active member of the Senior Leadership Team regarding resident services and facility operations, including attendance at SLT meetings as required.
- Professional Conduct and Compliance
- Follow all organizational policies and procedures related to resident care, health and safety, and facility operations.
- Follow all organizational policies and procedures related to employee conduct and performance.
- Demonstrate respectful and effective interactions with people of all cultures, backgrounds, abilities, sexual orientations, and faiths.
- Perform other related duties as assigned

Qualifications

Education

- Post secondary diploma or degree in recreation or activation, sociology, gerontology, or related field, or certificate in recreation or activation required.
- Certificate in management and or administration considered an asset.

Experience

- Minimum two years experience working with seniors, preferably in a retirement home or long-term care setting.
- Demonstrated experience planning, implementing, and facilitating recreational and engagement programs.
- Demonstrated experience coordinating volunteers, students, and special events.
- ·Empathy for and understanding of the needs of older adults and individuals with cognitive, mental health, or physical impairments.
- Familiarity with community resources considered an asset.
- Excellent working knowledge of Microsoft Office applications required.
- Working knowledge of Print Shop software considered an asset.
- Familiarity with standards set out in the Retirement Homes Act, 2010 and the role of the Retirement Homes Regulatory Authority.

Certifications

- Current CPR and First Aid certification required.
- Smart Serve certification required.
- Gentle Persuasive Approach certification considered an asset.

Other Requirements

- Ability to meet the physical demands of the position.
- Ability to read, write, and communicate effectively in English.
- ·Must be flexible with work hours, including evenings and weekends as required.
- Provide, at own cost, a current Vulnerable Sector Check.
- Provide, at own cost, evidence of required health clearances in accordance with public health and organizational policy.

- Demonstrated knowledge of community resources and geographic regions near the home

Working Conditions

- The standard work week is Monday to Friday.
- Flexibility in hours worked is required based on operational needs. Evening and weekend work is required, including mandatory weekend coverage as scheduled.
- Certain events may require adjusted shifts, including Pub Night shifts from 12:30 p.m. to 8:30 p.m.
