Fleet Coordinator – Calgary

We’re looking for a Maintenance Coordinator to join our Calgary office and play a key role in keeping our fleet safe, compliant, and road-ready. This position reports to the Director of Fleet Services and works closely with drivers, vendors, and internal teams to ensure our equipment is maintained to the highest standards while leveraging the latest technology, including AI-powered fleet analytics.

What You’ll Do

- Coordinate Preventive & Unscheduled Maintenance: Organize and book PMs and repairs for trucks and trailers, optimizing schedules using fleet management software and AI tools for predictive maintenance alerts.
- Manage Purchase Orders: Issue and track purchase order numbers through our internal systems.
- Vendor & Shop Coordination: Maintain strong relationships with vendors and repair facilities, ensuring clear communication and timely service.
- Fleet Compliance Oversight: Manage all compliance requirements, including CVIP/M1/M5 inspections, licensing for Alberta & BC units, warranty tracking, and inventory control.
- Data & Technology Integration: Utilize Fleetio, TMW suites, and AI-driven reports to monitor asset health, track mileage,



predict part replacements, and improve operational efficiency.
- Documentation & Reporting: Create, review, and file compliance documents accurately; generate ad-hoc and scheduled reports from transportation software.
- Analytical Problem Solving: Use critical thinking and root cause analysis to resolve maintenance issues, reduce downtime, and recommend process improvements.
- Project Support: Assist with special projects, process improvements, and technology upgrades within the fleet services department.
- On-Call Support: Participate in the on-call rotation (every third weekend) to handle urgent maintenance issues.

What You Bring

- 2–3 years of maintenance coordination or logistics experience (transportation industry preferred).
- Post-secondary education in a related field is an asset.
- Experience with fleet management software (TMW, TMT) and comfort working with AI-driven tools and ELD reporting systems.
- Solid critical thinking and decision-making skills to evaluate maintenance priorities, troubleshoot problems, and adapt to changing situations.
- Ability to interpret data from multiple sources and turn insights into actionable maintenance plans.
- Exceptional attention to detail,



especially in spreadsheets and maintenance records.
- Proven ability to communicate effectively with drivers, vendors, and internal teams in a fast-paced environment.
- Proactive and creative problem-solving skills and a readiness to embrace new technology to improve workflows.
- Organizational skills to balance multiple priorities while meeting deadlines.
