Position: Accounting & Administrative Coordinator Fred Albi, CPA Professional Corporation is seeking an organized, dependable, and detail-oriented Accounting & Administrative Coordinator to provide bookkeeping, administrative, and general office support.
This position plays an important role in the day-to-day operations of the firm and involves working with a variety of corporate and individual clients. The successful candidate will be comfortable managing multiple priorities, working independently, meeting deadlines, and handling confidential financial and personal information with a high degree of professionalism and discretion.
Strong organizational skills, accuracy, time management, and clear communication are essential for this role.
Responsibilities
- Provide bookkeeping and administrative support to the principal and other members of the firm.
- Perform day-to-day bookkeeping for multiple clients, including accounts payable, accounts receivable, and general ledger entries.
- Reconcile bank accounts, credit cards, and other balance sheet accounts.
- Prepare and process payroll for multiple clients, including payroll calculations and source deduction remittances.
- Assist with preparation and submission of WSIB filings and remittances.
- Assist with GST/HST preparation, reconciliations, and filings, as required.
- Maintain accurate and organized client accounting records and supporting documentation.
- Review bookkeeping records for completeness and identify missing or unusual transactions for follow-up.
- Communicate with clients to obtain bookkeeping records, payroll information, and other required documentation.
- Answer and direct telephone calls and respond to general client inquiries in a professional manner.
- Schedule appointments, meetings, and client calls.
- Greet and assist clients and visitors to the office.
- Perform general administrative duties, including filing, scanning, copying, printing, binding, document preparation, and electronic file management.
- Assist with the preparation, organization, and processing of client documents.
- Maintain client files and ensure documentation is properly organized and securely stored.
- Assist with managing workflow, deadlines, and outstanding client information.
- Provide support during busy tax and year-end periods.
- Maintain strict confidentiality regarding all client and firm information.
- Perform additional bookkeeping, accounting, and administrative duties as required.
Qualifications & Experience
- Minimum 2 years of bookkeeping or accounting experience.
- Minimum 1 year of administrative or office experience.
- Experience working with accounting or bookkeeping software.
- Experience with QuickBooks Online is preferred.
- Experience preparing and processing payroll is considered an asset.
- Experience with GST/HST and WSIB filings is considered an asset.
- Proficiency with Microsoft Office, particularly Word, Excel, and Outlook.
- Strong computer skills and the ability to learn new accounting and practice-management software.
- Excellent organizational and time-management skills.
- Strong attention to detail and commitment to accuracy.
- Ability to manage multiple clients, assignments, and deadlines simultaneously.
- Ability to work independently while also contributing effectively as part of a small professional team.
- Strong written and verbal communication skills.
- Professional and courteous when dealing with clients, government agencies, and other external parties.
- Ability to exercise discretion and maintain confidentiality when handling sensitive financial and personal information.
Ideal Candidate The ideal candidate is a self-motivated, organized, and dependable individual who takes ownership of their work and is comfortable working in a fast-paced accounting environment. They should be able to prioritize competing deadlines, identify issues that require follow-up, and complete assignments accurately with minimal supervision. Previous experience working in an accounting, bookkeeping, or professional services firm would be considered a strong asset.
Job Type: Full-time
Pay: $40,000.00-$50,000.00 per year
