Temporary: 1 Year (September 2026-September 2027)

Position Summary: The Administrative Assistant provides administrative support to ensure efficient operation of the office(s) for Lloydminster Region Housing Group. Duties and responsibilities include providing administrative support to ensure efficient operation of the office. Supporting the Support Worker, manager and employees through various tasks related to organization and communication to ensure the residents and tenants' needs are met. The administrative assistant is responsible for confidential and time-sensitive material.

Attending Resident Council meetings, collecting feedback and supporting resident led projects. Attending Pioneer Auxiliary Council meetings, collecting feedback and supporting volunteer led projects.

Booking Guest Services, change requests, and assisting hospitality with media services. Processing guest service or resident purchase payments.

Responsible to: The Administrative Assistant will be responsible for reporting to the Controller of LRHG, or their designate. The Administrative Assistant may periodically be assigned duties not outlined below.

Administrative Assistant Qualifications, Skills and Abilities:

- General working knowledge of Microsoft Office 365
- Friendly, professional manner
- Possess a courteous, positive & supportive attitude
- Ability to multi-task
- Data entry experience
- Willingness to take on new tasks and learn new skills
- Administrative experience including typing, filing, answering phones,



ordering supplies.
- Good communication skills & team player
- Shows initiative
- Ability to work alone without direct supervision
- Must be able to deal effectively with residents, tenants, staff, management, families and community members.

Administrative Assistant Responsibilities Supporting Link Worker Functions:

- Prepare forms, organize client files, and complete data entry for Link Worker appointments.
- Help gather documents, pre-fill applications, schedule appointments, and manage reminders.
- Draft referral packages, maintain partner contact lists, send follow‑ups, and track responses.
- Arrange outreach schedules, prepare materials, and coordinate access with housing sites and community partners.
- Maintain updated lists of transportation supports, food programs, housing resources, and digital access tools.
- Compile Alberta/Saskatchewan program information and track required forms.
- Record client activity, referrals, follow‑ups, outreach events, and prepare data summaries for grant reporting.
- Manage calendars, draft professional correspondence, organize documents, and support daily office operations.
- Provide general information for recent and existing resident enquiries including application paperwork and basic requests
- Clerical work including coping, filing, etc.
- Assist with tours and move-in packages
- Other duties as assigned by the Support Worker
- Other duties as assigned by the Controller
