The Opportunity
This is not a role tucked into a single office; it's a company-wide position with real ownership.
As Company
Administrator, you'll be the central point of contact for administrative operations across all 6 of AllRock's offices in Newfoundland and Ontario. Based out of our Toronto office, you'll work directly with every department to keep the company running smoothly, coordinating everything from vendor relationships to employee training to corporate communications. If you're organized, proactive, and want a role where your decisions have visibility across an entire organization, this is it.
Job Duties and Responsibilities
Operations & Vendor Management
- Order and manage office and lab supplies and equipment across all locations
- Manage receipts, subscriptions, and invoice payments
- Handle insurance, registration, and maintenance for the company vehicle fleet
People & Compliance
- Enroll employees in training courses and maintain handbooks and safety certificates
- Schedule premobilization drug/alcohol and medical testing for staff
- Set up projects in our safety management software
- Send mobilization forms for rotational jobs
Communications & Culture
- Record meeting minutes and coordinate scheduling
- Draft templates and proofread company documents
- Maintain AllRock's presence on LinkedIn and Facebook
- Organize monthly recognition, newsletters, and anniversary and birthday celebrations
Travel & Finance
- Arrange travel (flights, hotels, ferries, car rentals) for staff company-wide
- Assist with AP/AR tasks as needed
- Take on general administrative projects as they arise
Qualifications
- Completed an Office Administration diploma or equivalent is an asset.
- Experience as an administrative assistant or in a similar role is an asset.
- Maintain a full and valid driver’s license.
- Have access to a vehicle for work related duties.
- Experience in AP/AR is an asset but not required
Preferred Skills
- Strong capability to develop and maintain relationships with clients and all team members.
- Exceptional time management and organizational skills.
- Advanced understanding of word processing and spreadsheet software.
- Exceptional communication skills (verbal and written).
- Attention to detail and problem-solving skills.
- High level of discretion and confidentiality.
