Employee Experience Coordinator

Position Overview The Employee Experience Coordinator plays a key role in creating a positive, welcoming, and supportive experience for Big White employees throughout their season. This position is responsible for the day-to-day coordination of the staff accommodation program while also providing hands-on support with employee relations, recruitment administration, recognition programs, and general Employee Experience initiatives.

With a guest-first mentality, the Coordinator approaches employees as valued members of the Big White community. They listen, respond with empathy, take ownership of concerns, and work proactively to find solutions. Whether helping an employee navigate an accommodation concern, supporting a hiring manager, or recognizing a team member's contribution, this role helps ensure employees feel welcomed, supported, and connected throughout their Big White experience.

The successful candidate will be comfortable working in a fast-paced seasonal environment, managing competing priorities, handling sensitive situations with discretion, and building positive relationships with employees, managers, and other departments.

What You’ll Bring to the Team

- Previous experience in Human Resources, Employee Experience, hospitality, or a related field.
- Excellent communication, listening, and interpersonal skills, with a genuine interest in helping others.
- Strong organizational skills, attention to detail, and ability to manage competing priorities.
- Proactive, solutions-oriented, and able to work independently.
- Discreet and professional when handling sensitive employee information.
- Culturally aware and comfortable working with a diverse, multicultural workforce.
- UKG experience is considered a solid asset.

What Your Season Looks Like

Staff Accommodation

- Coordinate the day-to-day administration of the staff accommodation program, including rental agreements, bed allocations,



move-ins, and move-outs.
- Manage accommodation contracts and maintain accurate employee accommodation records.
- Coordinate end-of-season staff accommodation clean-up and turnover.
- Work closely with Accounting and Payroll to ensure accurate and timely collection of employee accommodation rent.
- Conduct regular spot checks and inspections of employee accommodation buildings and follow up on cleanliness, maintenance, safety, or other concerns.
- Address accommodation-related concerns, including noise complaints, common-area issues, and potential breaches of Accommodation Rules & Regulations.
- Support employees in understanding accommodation expectations, policies, and procedures.
- Manage and safeguard employee accommodation keys, ensuring accurate records and appropriate access.
- Approach accommodation concerns with fairness, empathy, and a focus on finding practical solutions while maintaining established policies and standards.

Employee Relations & Support

- Serve as a supportive first point of contact for employees who require assistance with workplace or accommodation concerns.
- Listen to employee concerns and assist with mediation and resolution of workplace issues in partnership with the HR and Employee Experience team.
- Help employees navigate appropriate resources, policies, and processes when concerns arise.
- Escalate sensitive or complex matters appropriately while maintaining confidentiality and professionalism.
- Build strong working relationships with employees and managers across the resort.




- Promote a positive, respectful, inclusive, and welcoming employee environment.

Recruitment & Hiring Support

- Assist hiring managers with seasonal recruitment and hiring processes.
- Maintain job advertisements and ensure postings are accurate, current, and reflective of Big White's employment opportunities.
- Support employment application processes and candidate communication.
- Assist with job fairs, recruitment events, and other seasonal hiring initiatives.
- Provide a welcoming and professional experience for candidates throughout the recruitment process.

Employee Recognition & Engagement

- Coordinate the execution of staff rewards and recognition initiatives.
- Organize and support Employee of the Month recognition events and other employee appreciation activities.
- Help create meaningful opportunities to recognize employees and celebrate their contributions.
- Look for opportunities to enhance employee engagement and strengthen the sense of community at Big White.

Physical Demands

- Ability to travel throughout the resort and access employee accommodation buildings for inspections and follow-up.
- Ability to navigate stairs and varying terrain as required.
- Light lifting and movement of supplies or equipment.
