Reeves Richarz LLP is seeking an experienced detail-oriented and proactive Family & Estates Legal Assistant with over 5 years of relevant experience to join our team and provide support to two associates. The ideal candidate will possess strong organizational skills and a solid understanding of legal procedures. This role is essential in supporting the associates with various tasks, ensuring that our legal operations run smoothly and efficiently.
This role provides administrative and legal support to lawyers practicing in Family Law and Estates matters. The successful candidate will play an important role in delivering exceptional client service, maintaining organized files, and assisting with the preparation and management of legal documentation and court materials.
Position Details

- Salary Range: $75,000 to $80,000 per year, commensurate with experience

Key Responsibilities
- Open, maintain, organize, and close client files.
- Prepare, draft, proofread, and format legal documents and correspondence, including:
- Wills
- Powers of Attorney
- Estate Administration documents
- Family Law pleadings and court materials
- Client correspondence and reports
- Coordinate client meetings, interviews, and appointments.
- Gather client information and prepare summaries for lawyer review.
- Manage lawyer calendars, court appearances, filing deadlines, limitation periods, and reminder systems.
- Prepare and file court documents and online submissions through appropriate court platforms.
- Maintain electronic and physical filing systems and document management databases.
- Monitor tickler systems to ensure critical dates are met.
- Assist with billing processes, including preparation of draft accounts and follow-up on accounts receivable.
- Communicate professionally with clients, court staff, opposing counsel, financial institutions, and other stakeholders.
- Conduct legal and factual research as required.
- Provide general administrative support, including document management, scanning, filing, and correspondence management.
- Collaborate effectively with lawyers and team members to ensure matters progress efficiently and deadlines are met.
Qualifications Required
- Minimum 5 years' experience as a Legal Assistant, preferably in Family Law and/or Estates Law.
- Strong knowledge of legal procedures, court documentation, and file management practices.
- Excellent proofreading, grammar, and document formatting skills.
- Exceptional organizational abilities and attention to detail.
- Ability to manage multiple priorities and work independently.
- Strong interpersonal, communication, and client service skills.
- Demonstrated ability to maintain confidentiality and exercise sound judgment.

- Experience with electronic court filing systems in Ontario.
