We are seeking a highly organized and detail-oriented Finance and Administration Manager to support the day-to-day operations of three affiliated corporations. This role is ideal for a versatile professional who enjoys working across finance, payroll, human resources, and office administration functions.
The successful candidate will play a key role in ensuring the smooth operation of our business by managing financial processes, supporting employees, maintaining compliance records, and coordinating administrative activities.
Key Responsibilities
Finance & Accounting
Perform daily accounting and financial administration functions for three corporations, including:
- Process accounts payable, including posting supplier and subcontractor invoices and issuing payments via cheque and electronic transfer (ACH).
- Manage accounts receivable activities, including posting sales invoices, issuing customer statements, performing collections, and tracking sales commissions.
- Deposit payments and perform intercompany fund transfers.
- Reconcile bank accounts, daily Moneris transactions, and other financial records.
- Prepare and submit government filings and payments, including:
- HST
- Employer Health Tax (EHT)
- WSIB
- Payroll source deductions
- Process payment of recurring expenses, including utilities, rent, corporate credit cards, and other vendor accounts.
- Maintain financial records and generate regular financial reports for management.
Human Resources & Payroll Support HR and payroll functions across all three corporations, including:
- Administer bi-weekly payroll.
- Maintain employee records and HR documentation.
- Track and administer vacation, sick leave, employee wellness advantages, and Group RRSP plans.
- Prepare annual tax forms and Records of Employment (ROEs).
- Process and maintain subcontractor agreements and payments.
- Maintain commissionable sales records and calculate quarterly commission payments.
- Review, reconcile, and process employee expense reimbursements.
- Administer employee benefit programs.
- Coordinate employee anniversaries, recognition programs, and gifts.
Administration & Office Management Perform a variety of administrative and operational support functions, including:
- Maintain liability and vehicle insurance records.
- Coordinate insurance certificates and review contractual insurance requirements for compliance.
- Manage company vehicle records, including licensing, maintenance, insurance, and toll transponders.
- Maintain investigation agency licenses and prepare renewal applications.
- Oversee office operations, including coordination with cleaning contractors and ensuring office and kitchen supplies are fully stocked.
- Administer customer and vendor portals and related business programs.
- Manage company baseball and hockey ticket programs.
- Coordinate company events, including the annual Christmas party.
- Maintain various administrative records and documentation.
- Support special projects and initiatives as required.
Continuous Improvement
- Assist management and team members with ongoing projects and strategic initiatives.
- Develop, review, and update company policies and procedures.
- Identify opportunities to improve operational efficiency and ensure the company remains competitive with industry peers.
Qualifications
- Post-secondary education in Accounting, Finance, Business Administration, Human Resources, or a related field.
- Minimum 5-7 years of experience in accounting, payroll, office administration, or a similar multifunctional role.
- Strong understanding of bookkeeping principles, payroll administration, and government remittances.
- Experience with accounts payable, accounts receivable, bank reconciliations, and financial reporting.
- Knowledge of Canadian payroll regulations and employment practices.
- Proficiency with Microsoft Office, particularly Excel.
- Experience with accounting and payroll software is considered an asset.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple priorities and maintain confidentiality.
- Strong communication and interpersonal skills.
- Self-motivated with the ability to work independently.
Pay: From $65,000.00 per year
