Front Desk Clerk – Walk-In Medical Clinic

We are seeking a reliable, organized, and patient-focused Front Desk Clerk to join our busy walk-in medical clinic. This role is ideal for someone who enjoys working with people, can manage multiple priorities at once, and remains calm and skilled in a fast-paced healthcare environment.

Position Summary The Front Desk Clerk is often the first point of contact for patients and plays an important role in ensuring the clinic operates efficiently. Responsibilities include patient registration, answering phones, managing patient flow, processing payments and forms, and supporting physicians, nurses, and other clinic staff.

Key Responsibilities

- Greet patients in a friendly, professional, and respectful manner.
- Register patients accurately and verify demographic and health-card information.
- Retrieve, prepare, and maintain patient charts and electronic records.
- Answer telephone calls and respond appropriately to patient inquiries.
- Assist with patient check-in, check-out, and clinic flow.
- Communicate wait times, clinic procedures, and registration requirements clearly.
- Direct patients to appropriate examination rooms and clinic areas.
- Scan, file, fax, print, and process medical documents.
- Assist with referrals, forms, reports, and administrative paperwork as required.
- Collect and process payments for uninsured medical services.
- Operate point-of-sale and payment systems.
- Maintain accurate documentation and protect patient confidentiality.
- Communicate effectively with physicians, nurses, pharmacies, laboratories, specialists, and other healthcare offices.
- Help maintain a clean, organized, and professional reception and waiting area.
- Assist other team members during busy periods.
- Follow clinic policies, privacy requirements, infection-control procedures, and workplace safety standards.
- Complete other administrative duties as assigned.

- Mature, professional, and respectful of confidential information.
- Willing to help wherever needed rather than limiting themselves strictly to reception duties.

Qualifications
- High school diploma required.
- Medical Office Administration, Health Office Administration, or similar training is an asset.
- Previous experience in a medical clinic, physician's office, urgent care centre, hospital, pharmacy, or healthcare environment is preferred.
- Previous reception or customer-service experience is an asset.
- Strong computer and keyboarding skills.
- Comfortable using email, scanners, fax systems, printers, and standard office software.
- Experience with electronic medical records or medical-office software is an asset.
- Strong verbal and written English communication skills.
- Ability to maintain patient confidentiality and handle sensitive information appropriately.

Hours and Availability Our clinic operates seven days a week, and candidates should have reasonable flexibility to work a combination of:

- Weekdays
- Weekends
- Statutory holidays




- Early morning or daytime shifts

Availability on weekends is particularly valuable. This position may be offered as casual, part-time, depending on clinic needs and candidate availability.
