Administrative & Compliance
- Utilize Buildium property management software to maintain property, tenant, and client records; previous Buildium experience is an asset.
- Maintain organized and accurate electronic files through Google Drive.
- Prepare and submit required documentation through Deal Track to ensure file compliance.
- Prepare, send, and manage documents for electronic signature through DocuSign.
- Create, upload, update, and maintain MLS listings.
- Track outstanding items, follow up on pending matters, and ensure deadlines and required documentation are completed accurately and on time.
- Manage a high-volume inbox while prioritizing urgent matters and maintaining timely follow-up.
- Complete property-related and general office errands as required.
- Travel to properties as needed for inspections, key exchanges, lockbox installation, photos, and other on-site tasks.
- Manage multiple priorities and deadlines in a fast-paced real estate and property management environment.
- Take initiative in identifying issues, following through on outstanding matters, and finding practical solutions.
Leasing, Client & Tenant Relations
- Maintain professional and responsive communication with property owners, tenants, prospective tenants, and cooperating agents.
- Manage communication with cooperating agents throughout the leasing process.
- Collect, organize, and review rental applications and tenant supporting documentation.
- Conduct background and screening checks and review applications for lease approval.
- Prepare Agreements to Lease and negotiate lease offers under the direction of the Brokerage.
- Prepare real estate and tenancy documentation, including Listing Agreements, N4 Notices, N9 Notices, and other required forms.
- Coordinate lease documentation, signatures, deposits, and other requirements through to completion.
- Respond to tenant and client inquiries and assist with resolving day-to-day concerns in a professional and timely manner.
Property Management & Inspections
- Conduct property inspections and prepare detailed documentation of property condition and required repairs.
- Coordinate and follow up on maintenance, repairs, cleaning, and other property services.
- Coordinate the installation, removal, and tracking of lockboxes.
- Take and edit property photos as required for listings, inspections, and property records.
- Manage property keys, including copying, exchanges, pick-ups, drop-offs, and tracking.
- Follow up with contractors, tenants, and property owners to ensure outstanding maintenance items are completed.
Qualifications & Requirements
- Previous experience working in a real estate, leasing, or property management office is strongly preferred.
- Minimum 1 year of property management or related real estate experience preferred.
- Strong organizational skills with the ability to manage multiple files, deadlines, and priorities simultaneously.
- Excellent written and verbal communication skills.
- Strong attention to detail and ability to work independently and proactively.
- Comfortable working with basic accounting, invoices, deposits, and financial documentation.
- Proficiency with MLS, WebForms, DocuSign, Microsoft Excel, Microsoft Word, and Google Drive.
- Experience with Buildium and Deal Track is considered an asset.
- Comfortable learning recent software and technology.
- Ability and willingness to perform off-site property visits and office errands as required.

Job Type: Full-time Pay: $45,000.00-$55,000.00 per year
