Overview

We are seeking a highly organized and detail-oriented Medical Office Administrator to join our healthcare team. This is a busy ophthalmology practice in Vancouver.

Your role is vital in ensuring the smooth operation of our medical practice by managing administrative tasks, patient interactions, and medical records with accuracy and professionalism. The ideal candidate will possess strong experience in medical office management, familiarity with EMR systems, and excellent communication skills. Bilingual abilities (fluent English and ideally competency in Chinese (Cantonese+/-Mandarin)), and clinic experience are highly valued to support diverse patient populations.

Responsibilities

- Manage patient scheduling, appointment confirmations, and follow-ups using EMR systems (Plexia)
- Verify MSP coverage of patients
- Handle medical billing and coding, and documentation review with accuracy
- Maintain and update medical records
- Assist with intake procedures, including patient registration and data entry using multi-line phone systems and office management software
- Support front desk operations by greeting patients, managing phone etiquette, and providing exceptional customer service
- Review clinical documentation for completeness and accuracy; support care plan documentation and review processes
- Perform administrative support tasks such as filing, data entry (including 10 key typing), and managing office supplies




- Facilitate communication between patients, providers, and hospitals/medical offices to ensure seamless care delivery
- Maintain confidentiality of all patient information
- Organize charts for surgery/prepare surgical packages for hospitals

Qualifications

- Proven experience in a medical office setting or healthcare clinic workplace: experience in ophthalmology/optometry is an asset
- Proficiency with EMR systems is a plus
- Strong knowledge of medical terminology, and medical billing procedures
- Familiarity with health information management standards
- Excellent computer skills including Microsoft Office Suite (Word, Excel), typing (10 key), and office management software
- Exceptional organizational skills with the ability to multitask efficiently in a fast-paced environment
- Bilingual abilities (English/Chinese) are preferred to serve diverse patient populations effectively
- Strong communication skills with professional phone etiquette and customer service orientation
- Previous experience supporting front desk operations or medical reception duties is highly desirable
- This role is ideal for candidates passionate about healthcare administration who thrive in a collaborative team environment dedicated to delivering outstanding patient care.
- We will train the selected candidate; the starting salary will depend on experience; there will be a two month trial period to ensure compatibility with this busy medical office

Job Type: Full-time Pay: $20.00-$30.00 per hour
