Summary
Big Creek Family Health Organization is a team of 4 Family Physicians, Medical Office Assistants (MOA’s) and a Registered Practical Nurse (RPN) located at the Delhi Community Health Centre in Delhi, Ontario. The clinic is currently recruiting an MOA/Receptionist to support the Physician’s practices.
The MOA is responsible for providing a qualified and positive impact when dealing with patients and performs a variety of tasks such as reception duties, weighing and recording patient weights, checking vitals, initiating the patient encounter in the EMR for the physician, cleaning/autoclaving instruments (course provided), stocking treatment areas, escorting patients in and out of exam rooms, and performing miscellaneous clerical duties such as ordering supplies, assistance in arranging medical tests or consults.
This role also manages simple wounds, administers vaccinations to infants, children and adults as required, and shares information collected from patients with the appropriate medical team members. The MOA must be able to communicate and work effectively on a multidisciplinary team and have a working knowledge of EMR and medical terminology. Additionally, they must have experience in relaying information to patients regarding their care as directed by physicians, both in person and by telephone.
Regular weekday hours; Monday to Friday 830am-430pm and occasional evenings (currently 2 evenings per month, subject to change)
Start date mid September 2026.
Full-Time (5 days/ 37.5 hours per week + 3 weeks paid vacation and 5 paid sick days annually)
Job Duties
· Greet and direct patients to appropriate medical resources and / or services.
· Answer external and internal phone calls and transfer calls as appropriate
· Provide administrative support and perform clerical duties.
· Scan, fax and / or mail documents as required.
· Manage referrals.
· Liaise occasionally with the Ministry of Health and Public Health
· Give registration forms to patients and ensure that they are properly filled out.
· Measure and document vital signs on each patient.
· Update and help maintain electronic medical system.
· Administration of vaccinations to infants, children, and adults as directed; as well as ordering vaccines and maintaining vaccine refrigerator logs
· Analyze data and relevant information to: Compose reports, compile statistics, prepare letters, memos and agendas.
· Share information collected from patients with the appropriate medical team members.
· Manage simple wounds as required on direction by the physician
· Relay health information between patients and physicians by telephone if required
· Clean and sterilize materials and instruments in the Autoclave on site (course provided)
· Prepare examination rooms with the necessary medical supplies and equipment.
· Monitor inventory of medical supplies and materials and order as required.
· Arrange for medical materials to be properly cleaned or disposed of.
· Make recommendations for policy and / or procedure improvements.
· Participate in meetings as requested.
- Work during both regular and occasional extended hours (currently one evening clinic weekly rotated with 2 other MOAs) – Monday to Friday
- Other duties as assigned
Professional Requirements · Medical Secretary or Medical Office Assistant Diploma required.
· Secretarial experience in a health care setting is an asset.
· Experience with Practice Solutions is an asset (training can be provided)
· Working knowledge of medical terminology.
· Assist with OHIP billing or reconciliation as necessary
· Familiarity with OHIP billing preferred.
· Ability to communicate and work effectively on a multidisciplinary team.
· Proficient in use of computers and other office equipment.
· Excellent organizational and problem solving skills.
· Strong knowledge of general office procedures involving procurement, travel arrangements, budget management, reports
· Previous experience in handling confidential or sensitive information; knowledge of applicable data privacy laws.
· Able to maintain filing systems and basic databases.
· Meticulous records maintenance skills.
· Able to manage time efficiently and prioritize multiple tasks.
· Superior telephone manners and strong interpersonal skills.
· Strong customer service orientation.
· Interacts with employees, management and the public at large.
· May be exposed to infectious waste, diseases, conditions, etc
· Overtime may be required.
· Ability to attend and conduct presentations.
· Manual dexterity required to use desktop computer and peripherals.
· Intermittent physical activity including walking, standing, sitting, lifting and supporting patients.
· Safe lifting and moving may be required.
· Communicates effectively and appropriately with patients, visitors and other healthcare professionals
· Establishes and maintains positive working relationships and works cooperatively with others
· Maintains a courteous, professional and quiet demeanor when answering the phone, maintaining patient confidentiality
· Maintains exceptional communication with employers regarding status of tasks requested
Job Types: Full-time, Permanent
Pay: $25.00 per hour
