About the role

APTOTAX is a growing tax advisory practice serving individual and corporate clients on cross-border and Canadian tax matters. We're looking for an operations-minded person to join long-term and grow with the firm — someone who will sit at the center of how client files move, coordinating between the principal, a network of contractors and tax specialists, and clients themselves.

This is not an admin or back-office role. You won't be handling billing or general office support — you'll be in the middle of the operation itself. This is a long-term position, not a short stint: over time, there's real room to grow into handling more of the technical side of client files as you learn the practice.

Note: we're looking for someone joining as part of the APTOTAX team long-term, not independent practitioners running their own firm.

What you'll do

- Sit in the middle of multi-piece client files, coordinating between the principal, contractors, and tax specialists across various tax types — sales tax, corporate tax, payroll tax, withholding tax — and compliance requirements for both individuals and corporations
- Track what's outstanding on each file and follow up directly with clients to get missing information moving
- Act as the go-to point of contact keeping active files on track day to day
- Help build and maintain simple, sensible systems for keeping files organized (SharePoint / Microsoft 365)
- Flag bottlenecks, and when you're not sure of the next step, ask the right questions to figure it out
- As you grow into the role, take on more of the technical file work over time





What we're looking for
- Strong critical thinking — someone who works through a problem rather than waiting to be told each step
- Highly proactive — when the next step isn't obvious, you ask the right questions to find it
- Early in your career and eager to grow — this is a great fit for someone building toward more technical tax/accounting work over time, not someone already established with their own client base
- Looking for a long-term fit
- Comfortable following up with clients and contractors, sometimes repeatedly, to get what's needed
- Studying or recently graduated in accounting/finance/business is a plus — an accounting degree (in progress or completed) is preferable given the range of tax types and compliance requirements involved, but it's not required if you're eager to learn and don't be intimidated
- Strong ethics and a firm commitment to client confidentiality — someone who acts as a guardian of client information, not just a rule-follower
- Security-minded and cautious, including a thoughtful approach to using AI tools, and willing to follow our IT security practices
- Comfortable with Microsoft 365 / SharePoint
- Based in or near the West Island of Montreal (Beaconsfield, Pointe-Claire, Kirkland, Dorval, or nearby)
- Available to work in-office to start, with flexibility to move to remote once established
