Pro Bono Law Alberta (“PBLA”) is a non-profit organization that advances access to justice by creating opportunities for the legal community to provide free legal services to Albertans in need. We work collaboratively with legal professionals, community organizations, and stakeholders to develop and support pro bono programs across the province.
Role Overview The Program Coordinator is responsible for the effective day-to-day delivery of PBLA’s Court-Based Programs in Calgary: Civil Claims Duty Counsel (CCDC), the King’s Bench Court Assistance Program (KB-CAP), and the ACJ Trial Project. Working on-site at the Calgary Courts Centre, the Program Coordinator ensures programs operate smoothly by coordinating volunteer lawyers and support volunteers, assisting clients, and reporting program activities.
This is a energetic, people-focused role where you would be the central point of contact for volunteers and prospective clients, ensuring each program is delivered efficiently, professionally, and with a strong commitment to access to justice. The Program Coordinator oversees program logistics, supports volunteer engagement, maintains accurate records, and helps ensure clients receive timely legal assistance in a welcoming and organized environment.
The ideal candidate is highly organized, adaptable, and confident managing multiple priorities in a fast-paced environment. They are an excellent communicator who enjoys working with people, solving problems, and creating positive experiences for both volunteers and clients.
Key Responsibilities
· Reliable daily in-person attendance to coordinate the daily operation of courthouse programs and ensure they run efficiently and effectively.
· Oversee day-to-day logistics, including timely client flow, volunteer check-in, and on-site technical setup.
· Conduct client intake and collect all required documentation and information.
· Maintain accurate and up-to-date client, volunteer, and program records using organizational databases and case management systems provided.
· Maintain program schedule planning to ensure volunteers are informed of upcoming shifts and supported throughout the day.
· Promptly and consistently report volunteer lawyer and support volunteer absences and shift cancellations to other PBLA staff.
· Liaise with court clerks, security, and other courthouse staff as needed to support program logistics and address operational issues.
· De-escalate client incidents as needed and liaise with courthouse security when appropriate.
· Onboard, train, and support volunteer lawyers and support volunteers.
· Ensure all data collection is performed consistently and in compliance with current PBLA business processes.
· Adapt effectively to process changes at the request and direction of other PBLA staff and management.
· Assist the Engagement Coordinator in off-site events within Calgary as needed to support new volunteer recruitment activities.
· Assist the Program Manger in periodic review and updating of digital and printed program policies, procedures, volunteer handbooks, and internal evaluation tools.
· Occasional travel is required to facilitate professional development,
team development, and program development.
Qualifications and Skills
· Reliable, collaborative, and adaptable to process change.
· Post-secondary education in business administration, nonprofit management, communications, project management, legal assistance, or related fields. An equivalent combination of education and experience will be considered.
· Exceptional organizational and time management skills, with the ability to manage multiple priorities in a fast-paced environment.
· Strong interpersonal and communication skills, with the ability to build positive relationships with volunteers, clients and fellow staff.
· Excellent customer service skills and the ability to communicate with empathy and professionalism.
· Proficiency with Microsoft Office, including Outlook, Word, Excel, and Teams.
· Paid work experience in customer service is a significant asset.
· Experience working in a nonprofit, legal, government, or social services environment is an asset.
· Experience coordinating programs, projects, volunteers, or client services is an asset.
· Demonstrated commitment to PBLA’s mission and values is an asset.
Compensation and Benefits
· $55,000 per annum, paid semi-monthly
· A competitive, industry-standard benefits package is provided upon successful completion of the probationary period.
