N.J. Peralta Engineering is looking for a motivated, organized, and team-oriented individual to join our office as a Reception & Administrative Assistant. This position is well suited to someone who enjoys working in a professional office environment, interacting with people, and providing administrative, clerical, and reception support to a busy team.
The successful candidate will be dependable, detail-oriented, and comfortable managing a variety of office administration, data entry, document management, and general clerical tasks while maintaining a professional and welcoming environment for clients, visitors, and staff. Experience in an engineering, construction, planning, consulting, or other professional office environment would be considered an asset but is not required.
We are a strong advocate of a team approach to undertaking projects and solving problems. The successful candidate will work closely with office, technical, and project staff to help ensure the office operates efficiently and project-related administrative tasks, records, and documentation are completed accurately and on time.

Qualifications & Skills The preferred candidate will possess the following:
- Strong verbal and written communication and interpersonal skills
- Professional, friendly, and helpful manner when dealing with clients, visitors, and staff
- Strong organizational skills and attention to detail
- Ability to prioritize tasks and manage changing workload demands
- Ability to work independently while also contributing effectively as part of a team
- High regard for accuracy and maintaining organized records
- Proficiency with Microsoft Office, including Word and Excel
- Comfortable working with PDFs, digital filing systems, the internet, and general office technology
- Comfortable performing data entry and maintaining electronic records and spreadsheets
- Ability to maintain discretion and confidentiality when handling company and client information
- Post-secondary education is considered an asset, but is not required
- Previous office, clerical, administrative, reception, or customer service experience is considered an asset
- Experience in an engineering, construction, planning, consulting, or other professional office environment is considered an asset
- Valid Ontario driver's licence and access to a vehicle
- Preference will be given to local candidates in the Windsor-Essex and Chatham-Kent areas
General Responsibilities Responsibilities will include, but are not limited to:
- Greeting and welcoming clients, visitors, and guests upon arrival
- Answering, screening, and directing incoming phone calls
- Responding to general inquiries and directing questions to the appropriate staff member
- Providing general office administration, clerical, and administrative support to the office
- Performing data entry and maintaining accurate records and spreadsheets
- Preparing, formatting, scanning, printing, copying, and organizing documents
- Maintaining organized electronic and physical filing systems
- Assisting with document management, filing, archiving, and organization of project records
- Assisting staff with routine forms, applications, and other administrative documentation
- Researching and gathering basic client and project information as required
- Reviewing and proofreading documents for formatting, spelling, and general accuracy
- Assisting with the preparation and organization of reports, tenders, contracts, and other documents
- Providing general administrative and project support to Project Managers and technical staff, including document preparation, data entry, filing, information tracking, and other routine project-related administrative tasks
- Assisting with general office organization, supplies, and inventory
- Supporting the team with other clerical and administrative duties as required to maintain an efficient and organized office environment
- Other office and administrative duties as required

Pay: $20.00-$23.00 per hour
