The Spa Receptionist is the first and last point of contact for our guests and plays an important role in creating a welcoming, professional, and relaxing spa experience. This position is responsible for providing exceptional customer service, managing appointments, processing payments, supporting retail sales, and ensuring the reception and guest areas are organized and running smoothly.

The ideal candidate is warm, professional, organized, dependable, and comfortable working in a busy spa environment.

Key ResponsibilitiesGuest Experience & Customer Service

- Warmly greet and welcome all guests upon arrival.
- Check guests in and out efficiently and professionally.
- Provide knowledgeable information about spa services, treatments, packages, memberships, promotions, and products.
- Answer guest questions and assist with treatment recommendations when appropriate.
- Maintain a calm, professional, and welcoming atmosphere at the front desk.
- Handle guest concerns professionally and escalate issues to management when necessary.
- Protect guest privacy and maintain confidentiality at all times.

Appointment Booking & Scheduling
- Answer incoming telephone calls, emails, and other guest inquiries promptly and professionally.
- Book, reschedule, and cancel appointments accurately.
- Help guests select appropriate treatments based on their needs and preferences.
- Confirm appointments and communicate spa cancellation and booking policies.
- Manage treatment schedules to maximize appointment availability and minimize unnecessary gaps.
- Maintain and manage waitlists.
- Rebook guests for future treatments before they leave whenever appropriate.
- Communicate scheduling changes with therapists, estheticians, and management.

Payments & Front Desk Operations
- Accurately process cash, debit, credit card, gift card, membership, and other approved payments.




- Issue receipts and properly process refunds or adjustments according to company policy.
- Sell and redeem gift cards and spa packages.
- Maintain accurate client profiles and appointment information.
- Complete opening and closing front desk procedures.
- Balance the cash drawer and payment transactions when required.
- Report discrepancies or payment issues to management promptly.

Retail Sales
- Become knowledgeable about the spa's retail products.
- Assist guests with product recommendations when appropriate.
- Promote home-care products that complement guests' treatments.
- Maintain attractive, clean, organized, and fully stocked retail displays.
- Inform management when retail inventory is running low.
- Participate in retail promotions and sales initiatives.

Spa Operations
- Maintain a clean, organized, and professional reception area.
- Ensure guest waiting and relaxation areas remain tidy and presentable.
- Assist with towels, robes, slippers, laundry, and other operational duties when required.
- Monitor spa supplies and notify management when inventory needs replenishing.
- Communicate with treatment providers regarding guest arrivals, delays, cancellations, and schedule changes.
- Assist other departments when necessary to maintain smooth spa operations.
- Follow all spa policies, procedures, sanitation standards, and safety requirements.

Qualifications
- Previous reception, hospitality, spa, salon, retail, or customer service experience is preferred.
- Excellent customer service and communication skills.




- Professional and polished appearance and manner.
- Strong organizational and multitasking abilities.
- Comfortable using computers, booking software, email, and point-of-sale systems.
- Strong attention to detail.
- Ability to handle confidential guest information professionally.
- Ability to remain calm and courteous during busy periods.
- Dependable, punctual, and able to work effectively as part of a team.
- Comfortable recommending and selling spa services and retail products.

Performance Expectations Successful Spa Receptionists are expected to:
- Deliver consistently excellent guest service.
- Maintain accurate bookings and client information.
- Minimize booking errors.
- Encourage appropriate rebooking.
- Support retail, gift card, package, and membership sales.
- Maintain professional telephone and front desk etiquette.
- Arrive on time and maintain dependable attendance.
- Work collaboratively with therapists, estheticians, reception staff, and management.
- Follow company policies and procedures consistently.

Physical & Scheduling Requirements
- Ability to sit or stand for extended periods.
- Ability to perform light lifting and general spa support duties.
- Availability to work a flexible schedule, which may include evenings, weekends, and holidays depending on business needs.

Compensation
- Competitive hourly wage based on experience.

Pay: $21.00-$22.00 per hour
