Position Summary:
Reporting to the Manager, PMO, the Senior Business Analyst The senior business analyst takes on more complex and critical responsibilities within the association and ensures best practices for business requirements gathering and documentation are being followed within the PMO and across the organization.
The Senior Business
Analyst acts as a liaison between the business and technical development teams to ensure business requirements are understood and translated into system and process functionality.
The Senior Business Analyst partners with the Director, PMO, the Manager, PMO, stakeholders across all business units, and relevant third parties to gather, analyze, and document user requirements for new and existing technology initiatives, as well as process and system changes. This work supports improved efficiency, productivity, and achievement of organizational goals. In addition, the Senior Business Analyst serves as the product owner for assigned applications and acts as the first point of contact for business inquiries.
As an integral member of the project lifecycle, the role also supports and conducts QAT and UAT activities for projects.
Responsibilities:
Requirements gathering and documentation: Elicit, analyze, and document business and user requirements for new and existing systems, processes, and technology initiatives.
Business process analysis and improvement: Review current processes, identify gaps and opportunities, and recommend improvements that support efficiency, productivity, and service orientation.
Stakeholder engagement: Work closely with PMO leadership, project managers, business units, technical teams, vendors, and other third parties to understand needs, validate requirements, and support solution delivery.
Product Owner responsibilities: Serve as the product owner for assigned applications by understanding business needs, prioritizing requirements, supporting enhancements, and acting as the first point of contact for business inquiries related to those applications.
QAT/UAT responsibilities: Lead, support, and participate in Quality Assurance Testing and User Acceptance Testing by helping develop test strategies, test plans, test cases, scenarios, sign-off criteria, and defect tracking processes to ensure solutions meet business requirements.
Solution validation and implementation support: Validate that delivered solutions meet business needs, support go-live readiness, assist with training and adoption, and provide post-implementation support.
PMO artifacts and standards: Create, maintain, and update PMO artifacts required throughout the project lifecycle, including requirements documents, user stories, process maps, test cases, decision logs, issue and risk logs, status updates, governance materials, implementation readiness materials, handoff documentation, closure materials, and other templates or deliverables as required. Ensure all artifacts are complete, accurate, timely, version controlled where applicable, and aligned with approved PMO standards, methodologies, templates,
naming conventions, and governance expectations.
PMO contribution: Support project planning, risk identification, status reporting, change management, governance documentation, and continuous improvement of PMO business analysis practices.
Mentorship and collaboration: Provide guidance to junior business analysts and share tools, templates, and best practices across the PMO and project teams.

Required Skills & Knowledge:
- Strong analytical, problem-solving, and conceptual thinking skills, with the ability to assess complex business processes, identify gaps, and recommend practical business and technology solutions.
- 5-7 years of experience in a Business Analyst, Senior Business Analyst, Product Owner, Project Analyst, or related role supporting technology, process improvement, or business transformation initiatives.
- Demonstrated experience gathering, analyzing, validating, and documenting business, user, functional, and non-functional requirements for new and existing systems, applications, processes, and technology initiatives.
- Strong knowledge of business analysis practices, tools, and techniques, including requirements elicitation, stakeholder analysis, use cases, process mapping, gap analysis, feasibility assessment, business impact analysis, and requirements traceability
- Experience acting as a liaison between business stakeholders and technical teams to ensure business requirements are clearly understood and translated into system and process functionality.
- Experience in supporting or performing Product Owner responsibilities, including understanding business needs, prioritizing requirements, supporting application enhancements, managing stakeholder questions, and serving as the first point of contact for assigned applications.
- Strong knowledge of Quality Assurance Testing and User Acceptance Testing practices, including the ability to support or lead the development of test strategies, test plans, test cases, test scenarios, sign-off criteria, defect tracking, and validation of business solutions.
- Strong written communication and documentation skills, including the ability to prepare clear business requirements documentation, process documentation, functional specifications, reports, presentations, and decision-support materials.
- Strong understanding of technology systems, business applications, system development lifecycles, and process automation opportunities, with the ability to collaborate effectively with IT, vendors, consultants, and third-party solution providers.
- Ability to work independently and collaboratively in a team-oriented environment while exercising sound judgment, critical thinking,
and attention to detail.
- Proficiency with Microsoft 365, SharePoint, Visio, and project or requirements management tools such as Jira, Azure DevOps, or equivalent tools.
Education & Qualifications:
- Bachelor’s degree in business, Information Technology, and/or an equivalent combination of education and experience.
- Certified Business Analysis Professional (CBAP) or Certification of Competency in Business Analysis (CCBA) is an asset.
- Product Owner certification (CSPO, PSPO, or equivalent) is an asset.
- Software quality assurance or testing certification (ISTQB or equivalent) is an asset.
- Project Management certification (PMP, CAPM, or equivalent) is an asset.

- Familiarity with PEO, Canadian engineering licensure, or regulated profession frameworks.
- Experience supporting digital transformation, system modernization, or enterprise application implementation projects.
- Experience working in not-for-profit, professional association, or government-regulated environments.
- Experience with change management principles and supporting user adoption activities (e.g., Prosci ADKAR framework or equivalent).
- Experience developing training content or organizational development materials for technology-based change initiatives.
Hybrid Work Environment
- We have embraced hybrid working, and for us this means coming to the office twice a week. However, if you wish to work in the office more often, you are welcome to.
- Occasional travel within Ontario may be required for stakeholder engagement or project delivery activities.
Anticipated Salary The expected annual salary for this position is $105,000 - $115,000.
