Job DescriptionThis position has an initial appointment of 3 years. The role is hybrid, with a mix of remote and in‑person work primarily at Enterprise Square, Alberta. A skilled communicator and experienced project manager is sought to lead the development of complex online programs from initial concept to final launch within the Online Learning & Continuing Education (OCE) unit of the University of Alberta.ResponsibilitiesProject & Program ManagementLead the planning, execution, monitoring and closeout of assigned online course and program development projects, including non‑credit micro‑credential builds, credit course builds and graduate courses.Develop and maintain project documentation such as charters, schedules, resourcing plans and communication strategies.Partner with OCE leadership to plan and manage project resourcing, internal capacity and supplier engagement.Oversee supplier procurement processes, including preparation of procurement documentation, evaluation of proposals, contract coordination and invoice scheduling in collaboration with Finance.Establish and lead project kickoff meetings, define governance and communication structures, confirm requirements and encourage alignment across stakeholders.Facilitate communication between project sponsors, team members and extended stakeholders such as finance, HR and external suppliers.Monitor project progress, risks, dependencies and deliverables; proactively address issues and escalations.Ensure consistent project documentation, reporting and file management practices, including formal project closeout and retrospectives.Ensure successful transition of project deliverables to operational teams.Foster strong,
collaborative working relationships across project teams.Resource Allocation & Supplier ProcurementCollaborate with OCE leadership on project resourcing and update resource planning tools to reflect internal and external allocations.Track and report on project time investment and coordinate time‑tracking requirements.Procure supplier support as required, serve as primary point of contact and monitor contributions.Track expenditures against project deliverables and timelines.Support onboarding and ongoing management of suppliers, ensuring alignment with project scope, agreements and quality expectations.Recognize strong performance and address performance concerns in collaboration with OCE leadership.Consult with team members and leadership during peak times to advise on prioritization across projects.Quality Assurance OversightMaintain familiarity with OCE quality standards, institutional policies and project requirements.Monitor projects to ensure quality practices are followed and outcomes align with stakeholder requirements.Support the team in identifying and resolving risks with course materials prior to launch.Leverage QA test feedback to provide actionable improvement suggestions.Advocate for the use of institutionally supported tools and platforms.Identify risks or issues within course materials prior to launch and ensure timely resolution.Contribute to the refinement of OCE quality standards, project templates and best practices.Reporting & Continuous ImprovementProvide regular project status updates to team, stakeholders and sponsors.Support evaluation of the online student experience, including coordination of surveys and reporting of results.Conduct project retrospectives and apply lessons learned across projects to strengthen OCE’s frameworks.Utilize and contribute to OCE project management,
quality assurance and information resources.Identify opportunities to improve project coordination, resourcing and quality assurance based on experience.QualificationsBachelor’s degree in Education, Instructional Design, Project Management or a related field.Project Management Certification is considered an asset.5+ years of experience managing complex course development or educational projects, preferably in online or higher education environments.Demonstrated expertise in project planning, estimation, stakeholder engagement, risk management and project closeout.Experience in client service and client‑facing project management.Experience overseeing quality assurance processes for online learning with knowledge of accessibility and course design standards (e.G., WCAG, Quality Matters).Strong working knowledge of learning management systems (Canvas preferred).Proficiency with project and resource management tools (e.G., Smartsheet, eResource Scheduler) and Google Workspace.Familiarity with project budgeting and financial reporting.Ability to manage multiple concurrent projects and shifting priorities.Strong attention to detail, excellent communication, relationship‑building and problem‑solving skills.Knowledge of post‑secondary policies and governance structures at the University of Alberta is an asset.High degree of accountability, initiative and emotional intelligence.BenefitsThe position offers a comprehensive perks package and an annual salary range of $66,932 to $111,595.Equal Opportunity EmployerThe University of Alberta is committed to creating an inclusive and accessible hiring process for all candidates.
