The Reservation Assistant’s primary responsibility is to prepare FIT travel programs for Entrée Canada – ensuring the smooth operation of all trips from making the initial supplier reservations through to ensuring clients’ itineraries are accurate and flow. The Reservation Assistant notices and enjoys working through the smallest detail proactively but can also look at the big picture with an eye for making our guest’s travel experience special. A strong vision for excellence in travel services is required. This position reports to the Director of Operations, with day-to-day supervision by the Operations Manager,



Canada.Responsibilities & QualificationsCoordinate reservation requests for new and ongoing FIT Programs according to our standards of serviceMaintain regular communication with the Operations TeamSend requests utilizing our reservations system (TourPlan)Review confirmations and supplier invoices for accuracyManage complete and accurate electronic Client Folders on the serverMaintain effective relationships with suppliers that will prepare them for service deliverySubmit completed programs to the Documentation Department and review itineraries for accuracyDevelop and maintain strong relationships with suppliersFiness unique, safe, and luxurious experiences that build lasting memoriesReview trip details to ensure that the trip fulfills if not surpasses the client’s expectationsExplore opportunities to deliver special 'touches' or wow factors during clients’ tripsShare new product knowledge, supplier feedback with Operation, Sales, or Product Team as needed.Maintain up-to-date Trip Calendar entries, track Live Travel (can include changes, cancellations, and any positive or negative impressions of travel).Work with the Operations Manager to implement any additional charges, cancellations, or refunds.Task-share during peak-operating season, this may includeLiasing with clients and providing assistance through our virtual messaging platformAssisting the Operations Managers with setup and delivery of last-minute programsRe-confirming trip itineraries prior to the start of travelSetting up welcome amenitiesEnsure that every interaction is utilized as an opportunity to impress and be of service (whether internally or externally).Skills & Qualifications RequiredPrevious travel industry experience or travel related university degree.Previous desk job/computer job experience.Product knowledge of Canadian hotels, resorts,



and travel services.Solid communication skills – experience in communicating with travel agents and their clients preferred.Excellent attention to detail and an understanding of a high level of customer services.Ability to multi-task and meet strict deadlines in a fast-paced environment.Ability to take on a large workload seasonally and handle it adeptly.Ability to work independently, as well as part of a team.Fluency in the English language (written & spoken).Excellent time management and organizational skills.High ability to manage changes.Poised, confident and decisive in pressure situations.Proficiency in Microsoft Office, Internet, and e-mail applications.
