Recognising that Black, Indigenous, and other racially‑challenged communities have experienced inequities that have developed historically and are ongoing, we strongly welcome and encourage candidates from those communities to apply.Your opportunityUnder the general supervision of the Director, Indigenous Initiatives & Indigenous House and the Director, Community & Learning Partnerships & Access Pathways, the incumbent is responsible for providing a high level of executive secretarial and confidential administrative support for the Office of Indigenous Initiatives & Indigenous House and the Office of Community Partnership and Engagement. Responsibilities include managing all aspects of a complex and intensive appointment schedule; planning and arranging workshops and events; assisting with the management of projects and compiling, coordinating materials from a variety of offices,



maintaining follow‑up files related to ongoing projects and initiatives; drafting complex correspondence; preparing and editing avariety of frequently complex and confidential materials; maintaining filesand other office activities; maintaining an up‑to‑date hard‑copy and electronic filing system; arranging travel and accommodation and maintaining reimbursement records; and performing other related duties as required.The incumbent works in a complex environment that requires a high degree of sensitivity, responsiveness and a need to maintain absolute confidentiality. The incumbent must maintain an in‑depth understanding of the priorities of the Office and must at all times present a professional image by interacting knowledgeably and courteously with a variety of individuals including senior administrators, faculty, staff, students and community members. In addition, the incumbent must adhere to and keep abreast of all University of Toronto policies and standards.Qualifications RequiredEducationPost‑secondary degree/diploma or formal business/commercial school training, or an equivalent combination of education and experience. Bachelor’s degree is an asset.ExperienceMinimum of five years progressively responsible experience in a senior secretarial or administrative position, preferably within a post‑secondary or government setting. Demonstrated administrative skills within an executive office such as calendar management, minute‑taking/briefing note creation and the ability to write clear and concise correspondence and reports. Familiarity with the University of Toronto, its policies, procedures and their application strongly preferred. Experience planning and coordinating events strongly preferred.SkillsComputer fluency – knowledge of Microsoft Office (Explorer, Word, Excel, PowerPoint, SharePoint), HRIS, Canva, Access. FIS strongly preferred. Excellent keyboarding skills.OtherSuperior oral and written communication, interpersonal, analytical, decision‑making and organisational skills. Knowledge and understanding of diversity, equity, inclusion, The Truth and Reconciliation Commission of Canada: Calls to Action, 2015, strong customer‑service orientation. Demonstrated experience interpreting and explaining complex policies. Demonstrated initiative, accuracy and meticulous attention to detail. Demonstrated judgement, tact, discretion and ability to handle complex matters of a sensitive and confidential nature. Ability to organise a heavy and fluctuating workload in a changing workplace. Ability to communicate effectively and professionally with a wide range of individuals across all levels of the University.
