Our executive team seeks exceptional people to support our leaders and maintain smooth business operations.ResponsibilitiesOwn and maintain calendar management for Investment Banking Managing Directors and their teams, troubleshooting conflicts with creative solutions.Coordinate domestic and international travel for leaders, including re‑scheduling due to delays and adjusting meeting schedules.Process expenses for teams, ensuring timely completion.Assist with in‑office or virtual meetings, town halls, and offsite events – booking spaces, developing agendas, setting up technology, proofreading PowerPoint decks, troubleshooting on the day, and ordering catering with dietary restrictions.Maintain confidentiality, including handling leaders’ email to prioritize or perform administrative tasks on their behalf.Apply due diligence to ensure accuracy in ad‑hoc tasks such as reports, invoices, charts, and file management.Provide regular updates to the immediate team on project status and day‑to‑day activities.Offer vacation/temporary coverage for colleagues and support additional leaders.Train new Administrative or Executive Assistants and serve as a subject‑matter expert for common tasks.Work independently with leaders while partnering with Special Assistants or other leaders on unique projects.Ensure high‑quality service and professionalism in all interactions, contributing to a positive work environment.Communicate confidently, offer suggestions, and provide constructive feedback.QualificationsHigh school diploma with over 5 years of relevant experience.Extensive knowledge of Microsoft Office Suite (Outlook, PowerPoint, Word, etc.) and internet applications.Ability to work independently and as part of a team, coordinating processes across related groups.Excellent collaboration skills with other Executive and Administrative Assistants, and internal/external partners.Strategic thinking and multitasking ability to meet conflicting deadlines.Experience coordinating travel arrangements and managing frequent changes.Strong organizational skills to manage multiple responsibilities and leaders’ administrative needs.Excellent communication skills – active listening, questioning, and effective communication.Ability to interpret TD policies and help executives apply standards in a fast‑changing environment.Strong judgment and discretion when handling confidential information.Compensation and BenefitsThe base salary offered may vary based on the candidate’s skills, experience, and other business needs.
