Along with our flagship forums, we offer avenues for members to engage and develop meaningful connections with peers globally.Based in downtown Toronto, our rapidly expanding business has created the need for a highly capable Project Coordinator to join our Program Outreach team.Reporting to the Head of Program Outreach, the Senior Associate will support client‑facing projects and members of the Cambridge Executive Connections (CEC) team, ensuring programs are thoughtfully planned, well‑organized, and delivered smoothly in alignment with client expectations and the organization’s commitment to trust, collaboration, and excellence.If you are someone who can juggle competing priorities and deadlines, possesses excellent communication skills, has exceptional attention to detail, and thrives on delivering an unmatched client experience, we’d love to hear from you.Key ResponsibilitiesProvide critical, day‑to‑day administrative coordination and support for assigned programs and related key members of the team (Forum Director)Act as the primary coordinator of day‑to‑day client engagement, fostering strong relationships and ensuring high‑quality client experience across offeringsSupport the Forum Director with program responses and requests, and monitor program requirements including registration tiers, targets, and quotasManage project administration by developing and maintaining detailed timelines, status reports, documentation, and coordinating internal deadlines and deliverables across teamsLead coordination of external stakeholder meetings, including agenda development, material preparation, facilitation support, and follow‑up on decisions and action itemsProactively monitor project progress,
identify risks or dependencies, and elevate issues with clear recommendations to the Forum DirectorWork closely with the Marketing & Technology team to execute all client communicationsUpdate and share pertinent information on programs with internal teams (ex. onsite, contracts, accounting, marketing), ensuring alignment on scope, timelines, and deliverablesPerform Client Relationship Management (CRM) database functions for assigned programs including data entry, queries, data pulls and ongoing management and maintenance of data integrityEnsure accuracy of key information within the system by adhering to records management standards, use of document templates, effective database management and other resourcesContribute to continuous improvement of client engagement processes, internal processes, and project management toolsMaintain Forum micro‑websites including updating content, resources and ensuring accuracy of details of the Steering Committee, participants, venues, registration, cancellations, and other key detailsPerform other administrative duties, as assignedCapabilities for SuccessProject Administration & Execution:Manage multiple priorities, timelines, and details with precision.Client Communication & Support:Communicate clearly, concisely, and professionally in both written and verbal interactions, with a relationship‑driven approach.Critical Thinking:Assess risks, solve problems, and exercise sound judgement.Initiative & Adaptability:Demonstrate self‑starter mindset; remain flexible, curious, and eager to learn.Deliverables Coordination:Prepare, support,
