Job DescriptionThe Administrative Assistant performs a variety of administrative duties for the Midland Community Church.AccountabilitiesGeneral AdministrationPerform general office duties such as answer and screen telephone, direct enquiries, greet and escort visitors, file documents electronically or manually, photocopy and distribute materials, send and receive fax/email, and resolve routine inquiries.Draft and type correspondences or generate reports (e.G., dictation, acknowledgments); check typing for accuracy.Handle and ensure the protection of extremely confidential and sensitive employee/Officer and/or program files.Draft and distribute thank you letters to volunteers and donors.Maintain database (e.G., volunteer information, contact lists, inventory, hours worked) and may input data into The Salvation Army Management Information System – S.A.M.I.S.Draft and prepare church bulletins, presentations, brochures, fliers, advertisements, invitations, certificates subject to Corps Officer approval (e.G., PowerPoint presentations).Schedule meetings, prepare agenda, type and circulate minutes.Keep track of the Corps Officers’ calendars.Open and distribute incoming mail and process outgoing mail, including confidential materials; receive parcels and distribute to the appropriate persons.Order all stationery supplies and maintain adequate office supplies and other supplies as needed; maintain postage machine and arrange for maintenance of office equipment.FinanceEnsure that all financial information is entered into the proper accounts following SA policy and procedures.Perform duties such as issuing donor receipts for income‑tax purposes; maintain knowledge of CRA rules.Ensure all monies received are receipted and timely deposits are made; record donations and member contributions in Shelby.Serve as custodian of gift cards – ensuring journal entries are made, verifying inventory, and tracking receipt and use of gift cards.Working ConditionsThis is a temporary part‑time position based on 30 hours per week.Flexibility in scheduling is required and will vary.Hours of work and schedule may vary according to requirements of responsibilities and will be determined in consultation with your supervisor.Work environment is typically a general office setting in generally agreeable conditions.This job requires using a computer frequently, working in a sitting position for periods of time, and lifting 10 pounds.Normal Hours of WorkMonday to Thursday, 8:45 a.M. to 4:00 p.M.; Friday 9:00 a.M.–12:00 p.M.; includes a ½ hourunpaid meal break where applicable. Flexibility in scheduling is required.Education, Qualifications and CertificationsCompleted two (2) years of community college, preferably a certificate in Business Administration, will be considered an asset.Proficiency in all Microsoft Office products is required, particularly Microsoft 365.Experience and Skilled Knowledge RequirementsMinimum of two (2) years of prior related experience, including administrative experience and experience dealing with office equipment and tools.Skills and CapabilitiesAlternative combinations of education and experience may be considered.Support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities.Maintain information in confidence as required.Participate as an active and responsible team member.Represent the organization in a positive, skilled,
and engaging manner.Able to work in a consultative, diplomatic and tactful manner.Strong written and verbal communication skills.Attention to detail, ability to prioritize, manage multiple tasks, and meet deadlines with minimal supervision.Proficient in office procedures, i.E., telephone, photocopier, scanner, etc.Ability to work in a fast‑paced environment, with proven attention to detail, aptitude for accuracy, thoroughness, and consistent follow‑up skills.Ability to use tact and diplomacy when dealing with the public, both in person and on the telephone.Ability and willingness to undergo applicable screening and background checks successfully that are satisfactory to The Salvation Army, in its sole discretion, and provide an original copy of a background check screening.Ability and willingness to develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities.CompensationThe target hiring range for this position is $17.60 to $21.84 with a maximum of $26.20.
