We are in search of a motivated, dedicated and organized Administrative and Digital Content Assistant to join our dynamic team. This role is integral to the efficient functioning of our firm, serving as the first point of contact for clients and providing essential administrative support and can balance daily administrative tasks with creative digital media management.

Key Responsibilities:

Firm Administration and Client Support

- Manage front office duties, including greeting clients and visitors, managing the reception area, ordering meeting catering, coordinating couriers and ordering supplies
- Correspond with clients and international associates with a professional demeanour
- Track critical deadlines, schedule meetings and appointments, coordinate travel arrangements and manage master calendars, and conference room bookings
- Manage email correspondence across internal channels, clients and official Patent/Trademark filling offices.
- Provide administrative support to attorneys and legal staff, including document drafting, proofreading, and editing
- Assist in organizing and maintaining legal files and records, both digital and physical
- Assist in the preparation of legal documents and filings
- Assist with billing and invoicing tasks
- Maintain confidentiality and handle sensitive information with discretion

Digital Content and Media Management

- Coordinate social media channels (i.e. LinkedIn) by drafting,



scheduling and publishing posts that highlights firm news, legal insights and team milestones.
- Update website content through our Content Management System (CMS) to ensure firm bios, blog posts and service pages stay current
- Produce basic video content for firm updates, including short clips for social media, firm presentations (capture footage, basic editing

Qualifications:

- Familiarity with basic video editing software, social media platforms and website tools is an asset
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite
- Ability to multitask and prioritize tasks effectively
- Exceptional attention to detail and accuracy
