The Outreach & Events Coordinator acts as a link between Catholic Cemeteries and community stakeholders to create impactful and exceptional event experiences. The incumbent plans, executes and manages small-to-medium ministry events of up to 1000 participants. In supporting the various events and program offers, the coordinator oversees volunteers and develops a growing network of lay faithful that support the ministry. As a key community liaison, the incumbent builds ministerial relationships with parishes, parish groups (CWL, Youth, etc.), CISVA schools, and Pastoral Centre ministry offices to educate about our ministry; The role builds awareness and educates the lay faithful about the Catholic Burial Tradition, the beauty of the Catholic Funeral Mass and functions of the ministry which include journeying with families after burials and providing bereavement support.ResponsibilitiesEvent Coordination and Program Execution (50%)Identifies plans and executes participation in community events such as the Monthly Mass of Remembrance, Open Houses, Outdoor Masses, Hallowtide, Bus tours, Seasons of Hope, and several others; Sets and monitors key performance metrics for assigned events, tracking performance and creating reports for review and presentation as needed; Manages the process of production and dissemination of event programs; Coordinates bereavement support programs at the cemetery and liaises with parish support groups; Collaborates with the Communications Coordinator to organize promotional initiatives and other promotional materials (e.G. bereavement newsletter, social media, printed materials); Orders promotionalitems used for seasonal programs (e.G. Christmas Wreath program, Candle sale for Hallowtide, etc.); Maintains clear and organized inventory of event materials.Community Engagement (20%)Promotes RCCAV awareness by building relationships through Catholic organizations, parishes, Gardens of Gethsemani Chapel community, Catholic Women’s League,
Knights of Columbus Chapters, RCAV, and other partnering organizations connected to our ministry; Works with parishes and the Development Office to coordinate estate planning presentations; Attends Conferences in the community -- CWL, RCAV, ONE Conference, CISVA, Educators Conference, Community Fairs and other as needed; Builds relationships with the Catholic school community, promoting our ministry and religious learning outcomes; Coordinates and hosts school programs at the cemetery; Acts as the primary point of contact for event sponsorship requests.Builds the volunteer program, and coordinates with volunteer networks to increase awareness; Orients and trainsvolunteers to increase their understanding of the ministry, our mission and our policies; Forecasts future volunteer needs in accordance with the growth plan; Develops and manages targeted programs (e.G. school programs) and training to improve volunteer knowledge, skills and experience; Conducts ongoing evaluation of the volunteer program, its processes, policies and activities; Recommends andimplements improvements as necessary and communicates accordingly with volunteers; Recruits volunteers to assist with monthly Mass service, parish presentations, and aftercare support.Administration (10%)Administrates Evangelist and Resurrection Mausoleum Chapels (non-liturgical aspects) and supports volunteer sacristans; Produces statistics for programs and monthly outreach reports; Other requiredduties as assigned.Desired Skills and ExperienceAt least two (2)
years of experience in professional events or community engagement; Previous experience in volunteer coordination considered an asset.Self-motivated and ability to work independently and as a team player.Excellent interpersonal and organizational skills with high attention to detail and high degree of initiative; Ability to exercise tact, diplomacy and discretion in a confidential work setting; Superior verbal and email communication skills as well as facilitation and presentation skills; Ministerial and marketing acumen with the ability to reach out to individuals and groups; Knowledge of the Catholic Church, Catholic Burial Tradition and Christian Guidelines for Funerals & Burials; Ability to show empathy towards the grieving families and sensitivity to those afraid of death; Thorough knowledgeof PowerPoint, Microsoft Word and Outlook as well as social media tools.Conditions of EmploymentActive member of a Catholic Parish; Demonstrates aservant leadership model in all his/her endeavours; Must have a valid BC driver’s license and reliable access to a vehicle (mileage will be reimbursed); Willingness tosupport the mission of the Church by extending the ministry of the Archbishop; Ability to meet the Archdiocese of Vancouver’s Safe Environment policies; Must be compliant with all applicable personnel policies.This is a full-time position. Core office hours are 8:30 AM to 5:00 PM, Monday to Friday; It is understood that evening and weekend work is required in order to fulfill the needs of this position.
