If you’re passionate about orchestrating seamless experiences and thrive in a fast‑paced environment, this role is for you!Position OverviewAs theConference Manager, you will lead the planning and execution of conferences from concept through onsite delivery. You’ll be directly involved in all aspects of conference management, including program coordination, logistics planning, vendor and supplier management, and onsite execution, while also leading and collaborating with cross‑functional teams. This role balances strategic oversight with hands‑on execution to ensure high‑quality delivery, strong client and stakeholder experiences, and continuous improvement across all conference activities.Roles and ResponsibilitiesConference Planning & LogisticsLead the end‑to‑end planning and execution of conferences from concept through post‑event reportingDevelop and manage conference budgets, timelines, and critical paths, maintaining accountability for scope, quality, and deliveryEvaluate, source, and manage venues based on program needs, capacity, technical requirements, and attendee experienceDevelop RFPs and oversee supplier selection, negotiating terms and managing vendor relationships in alignment with client goals and budget parametersCollaborate closely with internal teams, clients, and external stakeholders to align objectives, deliverables, and expectations throughout the planning lifecycleOversee all logistical components including agendas, speaker coordination, room setups, audiovisual needs, catering, signage, and onsite servicesMaintain detailed and accurate documentation such as function sheets, run‑of‑show schedules, timelines,



and budget reportsProvide day‑to‑day leadership, mentorship, and oversight to junior team members, contractors, and onsite support staffExhibit ManagementEvaluating venue suitability, supplier requirements, and developing RFP documentation that incorporates client requirements and venue regulations and branding opportunities for optimal impactOversee exhibit strategy, booth layouts, and vendor coordinationManage exhibitor communications, materials distribution, and issue resolutionEnsure accurate fulfillment and delivery of client and sponsor giveawaysSupervise packing, shipping, and onsite setup of exhibit areasFloorplan development to maximize client requirements and major partnersRisk Management & ComplianceAnticipate, assess, and mitigate logistical, financial, and reputational risks throughout the planning lifecycleEnsure conferences meet legal, safety, ethical, and inclusivity standardsReview and manage venue and supplier compliance requirements to minimize risk during planning and onsite executionMarketing, Promotion & NegotiationSupport the development of conference messaging and promotional timelines in collaboration with marketing and client teamsCoordinate sponsor and partner deliverables, ensuring accurate fulfillment of agreed upon benefitsNegotiate and secure favorable terms with vendors and service partnersOnsite ExecutionLead onsite conference operations, serving as the primary point of contact for stakeholders, vendors,



and internal teamsManage onsite teams and troubleshoot issues in real time to ensure smooth executionOversee speaker readiness, room flow, attendee experience, and overall program deliveryEnsure all event elements are delivered according to approved timelines, standards, and client expectationsPost‑Event Reporting & AnalysisLead post‑event debriefs with internal teams and clientsCompile and review post‑event reports, budgets, and performance metricsIdentify insights and opportunities for improvement to inform future conferencesYou will be taught our standards in preparing and coordinating:Go Live ScheduleRegistration Website and ReportsMeeting MinutesFunction SheetsMinute by Minute / Run of ShowCritical Path Updates (Using Wrike)Food & Beverage BudgetingOverall Conference BudgetSpeaker and Agenda CoordinationPost Event Reporting and Debrief DocumentationQualificationsBachelor’s degree in hospitality, event management, business administration, or a related fieldMinimum 7–10 years of experience in conference or event planning, including registration management and onsite deliveryDemonstrated leadership experience, with the ability to manage, mentor, and collaborate with cross‑functional teamsStrong proficiency in Microsoft Office Suite, particularly Excel and PowerPointExperience working with conference registration platforms and reporting toolsExcellent organizational, communication, and client service skills, with strong attention to detailSolid understanding of the MICE and Association sectors, with hands‑on experience planning and executing conferences ranging from 500–2,000 attendees in the Toronto marketBilingual English/French is considered an assetCMP, CEM, or equivalent professional certification is a strong assetBenefitsSalary range starting at $85,000 annuallyHealth and dental benefits.HSA & LSABirthday day offFriendly and cooperative work setting.#J-18808-Ljbffr
