This will be a remote‑start position with future in‑office potential at any of our offices located in Sault Ste. Marie, Sudbury, North Bay, Timmins, Dryden, Peterborough, Hamilton, Toronto or Ottawa.The Manager of Corporate Services is a central pillar of the organization’s operational and governance infrastructure. The role ensures that the CEO and Board of Directors are well‑supported, that internal systems and policies are sound and current, and that the organization runs smoothly and professionally from the inside out. It is both a strategic and hands‑on role, requiring someone who is organized, discreet, and confident working across all levels of the organization including serving as a technical liaison for the Board of Directors.Ontario Aboriginal Housing Services welcomes and encourages applications from people with disabilities. Ontario Aboriginal Housing Services also welcomes and supports diversity including those who identify as 2SLGBTQQNBIA+.In meeting the objectives and vision of the organization, preference will be given to qualified individuals of First Nation, Métis, or Inuit ancestry, and are asked to self‑identify on their cover letter.CompensationChallenging and fulfilling work; an inclusive and supportive team; and a work environment steeped in and guided by Indigenous culture; Comprehensive medical & dental benefits + company vehicles available for fieldwork; $2000 Health Spending Account + $2000 Wellness Spending Account per employee; Company RSP matching program; Additional paid holidays (in addition to statutory holidays) include Family Day, Easter Monday, National Indigenous Peoples Day, Indigenous Veteran’s Day and Louis Riel Day; Opportunity for cultural, educational, and other approved leaves; Supported trainingopportunities for personal and professional development while reciprocally enhancing organizational capacity; A competitive salary in the pay band 8, $93,760- $114,700.Duties and ResponsibilitiesBoard Governance and SupportThe Manager of Corporate Services works through the Chief Executive Officer to provide coordinated governance and administrative support to the Board of Directors, ensuring the Board has the information, resources, and organizational linkage required to fulfill its oversight responsibilities effectively.Ensure that the Board of Directors is well‑supported to fulfill its fiduciary, strategic, and oversight responsibilities, and that the Corporation’s governance practices meet the highest standards of accountability, transparency, and compliance.Manage the full Board meeting cycle: develop annual Board and committee calendars, coordinate meeting scheduling, prepare and distribute agendas, compile and quality‑review Board packages, and ensure timely circulation of materials (minimum 7 business days in advance of meetings).Attend all Board and committee meetings, record accurate and complete minutes, and track all motions, resolutions, and action items to completion.Maintain the official corporate records, including the resolutions register, minutes book, director registry, bylaws, articles of incorporation, and letters patent.Monitor and ensure compliance with the Corporation’s governing legislation (e.G., applicable provincial or federal Not‑for‑Profit Corporations Act), bylaws, and Board‑approved governance policies.Coordinate the Board’s annual governance cycle, including Board self‑assessments, strategic planning sessions, annual general meetings (AGM), and Board retreats.Manage Board recruitment, nominations, elections, and succession planning processes in collaboration with the Governance Committee and CEO.Design and deliver Board onboarding and orientation programs for new directors, including governance training, fiduciary duty education, and organizational briefings.Track Board member terms, attendance, conflict of interest declarations, and skills matrices; provide regular reportsto the Governance Committee.Provide dedicated administrative and governance support to all standing and ad hoc Board committees, including the OAHS Finance & Audit Committee, among others.Support the Audit Committee with logistics for the annual external audit,



auditor presentations, and financial reporting to the Board, in coordination with the CFO.Work with committee Chairs to develop committee work plans, agendas, and annual calendars that align with the Board’s governance cycle.Prepare and distribute committee meeting packages, attend meetings, record minutes, and track action items and recommendations for Board consideration.Coordinate the flow of committee recommendations to the full Board, ensuring proper documentation and alignment with Board decision‑making processes.Research governance best practices, emerging trends, and legislative changes relevant to not‑for‑profit and Indigenous governance, and provide recommendations to the CEO and Board.Senior Executive SupportThis role provides comprehensive executive support to the Chief Executive Officer, and Senior Executive Council (SEC), ensuring seamless coordination of priorities, meetings, strategic initiatives, and organizational governance activities.Provide high‑level administrative support to the CEO, including correspondence, scheduling, and document preparation.Coordinate Senior Executive Circle (SEC) meeting logistics, including scheduling, preparing pre‑meeting materials, tracking action items, and maintaining an organized Teams folder structure.Attend weekly SEC meetings to take minutes and distribute finalized notes to members.Support the CEO by drafting agendas, collecting materials, and assisting with follow‑up tasks arising from SEC meetings.Assist the CEO with strategic planning processes, including logistics, facilitation support, document preparation, and progress reporting to the Board.Support the coordination of organizational events, staff meetings, or retreats.Coordinate internal and external meetings, including logistics, travel and in‑person meeting arrangements, preparation of briefing materials, and collection of relevant background documents.Attend meetings as requested to record key information, track follow‑up items, and liaise with staff to ensure timely completion of action items.Maintain a compliance calendar to track all corporate filing deadlines, annual returns, insurance renewals, registrations, and regulatory submissions.Corporate Policy and Information ManagementThis role leads the organization’s records, policy, and administrative governance functions, ensuring that corporate information, policies, and operational systems are well‑structured, compliant, culturally aligned, and effectively support organizational accountability.Oversee and maintain the organization’s overall records and file management structure, both digital and physical.Maintain the organization’s master policy and procedures library, tracking version control, review schedules, approval dates, and responsible owners for each policy.Drafts, edits, and formats new policies and procedures for CEO and Board review and approval, ensuring clarity, consistency, and alignment with the Corporation’s governance framework.Ensures the Corporation’s governance policies reflect Indigenous governance principles, including community accountability, consensus‑based decision‑making, and respect for Elder guidance and cultural protocols.Coordinates the cyclical review and update of all corporate policies, working with department heads and the CEO to ensure policies remain current, relevant, and compliant.Monitors regulatory and legislative changes that affect the Corporation’s compliance obligations (e.G., privacy legislation, employment standards, CRA requirements for non‑profits, funder compliance) and flags required policy updates.Manages the document retention and destruction schedule in accordance with legal requirements, funder obligations, and the Corporation’s records management policy.Oversees the transition to and ongoing management of electronic records and document management systems.Acts as an internal resource for staff on organizational procedures and filing systems.Ensures the safe custody of corporate seal, signing authorities register, and other legal instruments.Coordinates responses to Freedom of Information (FOI)



and privacy requests where applicable.Identifies gaps or inefficiencies in cross‑departmental workflows and helps design better processes.Manages or coordinates office administration functions, vendor relationships, and office supply/facilities oversight.Reception and Front‑Line Staff OversightThis role ensures that front‑line reception services reflect the organization’s commitment to welcoming, respectful, and culturally grounded support for community members, providing leadership that equips staff to respond to inquiries with accuracy, professionalism, and care.Provides supervision, direction, and support to reception staff.Ensures receptionists are well‑trained, have access to current information, and understand their role in representing the organization.Develops scripts, FAQs, and resource tools to help front‑line staff handle inquiries effectively and consistently.Acts as an escalation point for front‑line issues.Qualifications and Core CompetenciesUnderstanding of Indigenous cultures, urban Indigenous communities, and urban Indigenous service delivery landscape across Ontario considered an asset.Commitment to support OAHS’ goals and objectives while maintaining demonstrated values rooted in kindness, respect, and empathy.Ability to actively role‑model OAHS’ strong and healthy organizational culture, live the teachings and principles of Indigenous cultures, and represent the organization in a highly professional manner.Solid organizational, time‑management, and prioritization skills, with the ability to manage multiple deadlines and maintain accuracy in a fast‑paced environment.Exceptional communication and interpersonal skills, with the ability to write clearly, work collaboratively, and build positive relationships with internal and external partners.High degree of self‑motivation, accountability, and ability to meet deadlines in a fast‑paced environment.High level of professionalism, discretion, and confidentiality, especially when handling sensitive executive and Board‑related information.Demonstrated initiative and accountability, with strong follow‑through, sound judgment, and the ability to work independently while supporting organizational priorities.Demonstrated financial acumen, including the ability to interpret budgets, analyze financial information, support forecasting processes, and ensure sound financial stewardship across corporate functions. Proven experience developing, implementing, and maintaining organizational records‑management systems, including classification structures, retention schedules, and digital filing practices.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and strong comfort with digital communication platforms (e.G., Teams, Zoom, etc.), with the ability to adapt quickly to new applications and technologies.To Qualify for this Role, the Successful Candidate Will Have the Following Qualifications and SkillsPost‑secondary education in office, business, or administrative studies, or an equivalent combination of education and relevant experience.A governance or corporate secretary designation is considered a strong asset: Chartered Governance Professional (CGP), Governance Certified (GC), Institute of Corporate Secretaries and Administrators (ICSA), or equivalent.Additional education or training in Indigenous governance, community development, or not‑for‑profit management is highly valued.Minimum 5 years of progressive experience in corporate governance, Board support, corporate services, or executive administration, including at least 2 years in a supervisory or management capacity.Demonstrated experience supporting a Board of Directors and Board committees in a not‑for‑profit, public sector, or Indigenous organization setting.Proven ability to prepare high‑quality Board packages, minutes, resolutions, and governance documentation.Experience coordinating AGMs, strategic planning sessions, and community engagement events.Experience working with or for Indigenous communities, governments, or organizations is strongly preferred.Thorough knowledge of not‑for‑profit governance legislation, fiduciary duties, and governance best practices in Canada.Understanding of parliamentary procedure and meeting management (e.G., Robert’s Rules of Order or consensus‑based models).Familiarity with CRA compliance requirements for non‑profit organizations, privacy legislation (PIPEDA/provincial equivalents), and corporate registry requirements.Conditions of EmploymentMust provide a current, acceptable Criminal Reference Check.#J-18808-Ljbffr
