The Director of Corporate Administration is responsible for the strategic oversight and management of administrative operations across the company.

This includes leading Branch Managers and Reception teams, ensuring consistency in policies and practices, and fostering a unified company culture. The Director is also accountable for the efficient execution of administrative functions, including centralized telephony system management, CGI/Dash compliance management, facilities management support, courier & postal services, and related vendor relationships. This role reports directly to the Chief Operating Officer (COO).

Key Responsibilities

- Leadership of Branch Managers: Oversee all Branch Managers to ensure uniformity in policies, practices, and company culture. Provide formal mentorship and coaching to develop leadership capabilities across the organization.
- Team Oversight: Lead and support the Reception team, working closely with Branch Managers and Directors to ensure smooth operations across all divisions of McFarlan Rowlands.
- Administrative Strategy & Process Improvement: Develop, implement, and manage administrative policies, procedures, and strategies across all company branches. Identify and implement opportunities to streamline processes and enhance efficiency.
- Centralized Phone System Management: Oversee administrative management of centralized phone system, reception call queue performance, liaising with communications to manage messaging changes & updates,



performance reports distribution and provide recommendations for ongoing improvement to business leadership.
- Contract Management: Oversee the CGI / DASH contract, ensure all records are up to date, compliance requirements are met, and manage participation in audits as required.
- Courier & Postal Mail Oversight: Manage all aspects of the company’s courier services, scanning operations, and associated postage management processes.
- Vendor Relationships: Liaise with external vendors as necessary to ensure services and products are delivered in a timely and efficient manner. (This includes but is not limited to all Branch Universal vendors such as; Canada Post, Staples, Courier, CGI, DASH) - Customer Relations & Grievance Support: Support reception team and branch managers with triage & appropriate direction of elevated customer complaints to ensure prompt attention and a high level of customer satisfaction.
- Paperless Initiatives: Lead the company’s ongoing efforts of paperless processes across administrative functions.
- Budgeting & Financial Oversight: Lead the budgeting process for administrative functions, monitor financial performance, and ensure budget targets are met.
- Special Projects & Additional Responsibilities: Perform other responsibilities and special projects as required by the COO or other senior leadership Education, Experience, and Skills Required:
- Education: College or University Level - RIBO licensed - CIP / CAIB is an asset - Experience:



Minimum of 7 years of experience as a licensed professional with supervisory or management experience in a similar administrative role.
- Skills:
- Excellent written and verbal communication skills.
- Strong organizational skills with attention to detail and the ability to prioritize tasks effectively.
- Ability to lead and mentor teams, fostering a cohesive and productive work environment.
- Solid understanding of administrative systems, paperless technologies, and auditing procedures.
- Experience in budgeting and financial oversight.
