Job Overview

We are seeking a reliable, organized, and motivated Operations Coordinator / Dispatcher to help manage the daily operations of our towing, vehicle rental, dump truck, transport, and equipment divisions.

This is a hands-on office position for someone who can handle multiple responsibilities, stay organized in a fast-paced environment, and follow up on tasks until they are completed. The successful candidate will work closely with drivers, customers, insurance companies, mechanics, and management.

Key Responsibilities

- Answer incoming calls and dispatch tow trucks, dump trucks, transport vehicles, and equipment.
- Coordinate drivers, monitor job progress and locations, and prioritize urgent calls.
- Handle OPP/police, roadside assistance, insurance, private customer, impound and accident-related calls.
- Maintain accurate job entries, driver records, yard logs, vehicle information and operational notes.
- Monitor driver daily inspections, hours, documentation and general company compliance.
- Review GPS/camera system alerts and report driver, safety or compliance concerns to management.
- Coordinate vehicle releases, impound payments, towing invoices and insurance-related documentation.
- Manage rental vehicle files from pre-rental through authorization, return, invoicing and payment.
- Obtain and follow up on insurance rental authorizations, claim information and rental final dates.
- Review rental vehicle condition reports, mileage, fuel, damages, cleaning charges, tickets and other applicable fees.
- Prepare invoices, process payments and follow up on outstanding insurance/customer accounts.
- Coordinate vehicle and truck maintenance with the shop and maintain service records.
- Help organize the yards, vehicle accessibility, gate access and day-to-day operational requirements.
- Dispatch and coordinate dump truck operations and actively look for available dump truck, hauling, construction and equipment work.
- Monitor available contracts and bidding opportunities,



including municipal and construction opportunities.
- Assist with marketing and developing relationships with repair shops, dealerships, fleets, insurance companies, roadside companies, contractors and other potential customers.
- Maintain calendars and reminders for inspections, maintenance, driver abstracts, vehicle records and other recurring requirements.

Qualifications

- Previous dispatch, towing, trucking, rental, logistics or office operations experience is preferred.
- Strong telephone and customer-service skills.
- Excellent organization and ability to multitask.
- Comfortable working in a fast-paced environment and handling urgent situations.
- Strong attention to detail and ability to follow established procedures.
- Basic computer, email and invoicing skills.
- Comfortable learning dispatch, GPS, camera, billing and fleet-management software.
- Able to communicate professionally with customers, drivers, insurance companies, police and other businesses.
- Self-motivated and able to follow up on outstanding tasks without constant supervision.

Job Type: Permanent

Pay: $18.00-$32.00 per hour
