MSP uses housing-first and harm reduction principles in the provision of a safe, respectful and accessible place for individuals who are experiencing homelessness or at risk of homelessness in the community. Since 1972, MSP has been providing a range of services to Winnipeg's most marginalized residents, including emergency shelter and nutrition services, drug and alcohol withdrawal management services, health advocacy and support, case management services, housing support services, food bank services and a mobile community outreach program.About the role : The following description outlines the responsibilities, qualifications, and expectations for the Shelter Administrative Coordinator role within MSP’s Shelter Services.Job SummaryReporting to the Program Manager, Shelter, the Shelter Administrative Coordinator provides staffing and management support to all shelter employees while maintaining the core values of MSP regarding harm reduction, choice, equity, and diversity to encourage individual’s capacity building. The Coordinator provides both administrative support (payroll, timecard approvals, policy administration and compliance, etc.) and professional development support (coaching, policy adherence, workplace feedback, etc.) for front-line staff.Key ResponsibilitiesOversee and provide direction to shelter staff and volunteers in their day-to-day dutiesComplete administrative tasks including but not limited to HIFIS & RL6 Admin, preparing board reports, video review, workplace health and safety audits/inspections, coordinating indefinite restriction reviews, coordinating with scheduling on staffing updates, swipe card management, time off request management, completing time sheets,
maintenance and hippo requestsProvide support to management in policy and procedure adherenceSupport the Program Manager in implementation of new policies and proceduresAssist the Program Manager in researching and developing recent initiativesIdentify candidates for hire, complete initial screening and schedule interviewsAssist in employee onboarding and scheduling of trainingCommunicate organization updates with employees on a regular basis, answer queries and provide information as neededMonitor ongoing work, identify problems and make recommendations for continuous improvements of procedures and policiesResponsible for employee performance management; keeping the Program Manager up to date on staff performanceParticipate in multidisciplinary team meetings, providing relevant participant informationEnsure employees follow safe work practices and MSP standard operating proceduresEnsure shelter supplies are kept in stock, oversee the ordering processLead team debrief after incidentsComplete timesheets for payroll processing in a timely mannerAddress community member complaints or concerns; keep the program manager up to date on all community member interactionsProvide coverage on an emergency basis when neededProvide crisis prevention and intervention as neededAttend and plan mandatory staff meetings, workshops and training sessionsCommunicate on a regular basis with the Program Manager on any staffing / scheduling issues or concernsCollect and report all monthly statistical information, MIS stats and other program related statsReport stats in a timely and accurate mannerQualificationsTwo years' experience in human services, preferably working with adults challenged by homelessness, mental illness and/or chemical dependencyRelevant post-secondary education is considered an assetExperience in a management,
