Role Description The Office Administrator role at WholeFleet Diagnostics is a full-time, on-site position based in Cambridge, ON.

The Office

Administrator will manage day-to-day office operations, including answering calls and emails, greeting visitors, scheduling meetings, and maintaining office supplies and equipment. This role will support customer service activities such as processing orders, preparing invoices, organizing documentation, and coordinating with internal teams on training and product-related inquiries.

Administrator will assist with data entry, record keeping, basic reporting, and maintaining accurate digital and paper filing systems.



The role also involves supporting management with administrative tasks, preparing correspondence and basic presentations, and helping ensure a professional, organized, and efficient workplace.

Qualifications

- Strong office administration and administrative assistance skills, including scheduling, filing, and records management.
- Experience working with office equipment (e.g., printers, scanners, phones) and basic proficiency with office software such as email, word processing, and spreadsheets.
- Effective verbal and written communication skills, with the ability to interact clearly and professionally with colleagues, customers, and partners.
- Customer service skills, including responding to inquiries, providing timely follow-up, and maintaining a courteous, solution-focused approach.
- Ability to prioritize tasks, manage time effectively, and maintain attention to detail in a fast-paced, technical setting.
- Previous experience in an office or administrative role; experience in automotive, fleet, or technical services is an asset.
- Comfort working with basic data entry and administrative systems; CRM or accounting software experience is an advantage.
- High school diploma or equivalent required; post-secondary education in business administration or a related field is considered an asset.
