Overview:
Nella Toronto is looking for an experienced, highly organized Project Coordinator to support our commercial kitchen-equipment projects from award through delivery, installation and closeout.
This is not an entry-level administrative position. We are looking for someone who understands project coordination, construction schedules, equipment procurement and the importance of staying ahead of deadlines and site requirements.
The ideal candidate has experience working for a commercial food-equipment dealer, construction company, mechanical contractor or related project-based business.
Key Responsibilities:
- Review project contracts, equipment schedules, drawings and specifications
- Prepare and maintain project files, budgets, schedules and status reports
- Coordinate equipment approvals, shop drawings, purchase orders and procurement
- Track manufacturer lead times and follow up with suppliers
- Coordinate deliveries, installers, site requirements and project milestones
- Communicate regularly with project managers, general contractors, consultants, suppliers and clients
- Review site conditions and identify potential delivery or installation issues
- Track deficiencies, warranties, closeout documents and outstanding work
- Review project costs, supplier invoices and billing information
- Maintain accurate records of approvals, changes, commitments and project correspondence
- Escalate potential schedule, cost or coordination problems before they affect the project
- Assist the Project Director and project-management team with multiple active projects
Required Experience and Skills:
- Minimum 3 years of project-coordination experience
- Commercial kitchen-equipment or construction experience is strongly preferred
- Able to read construction drawings, specifications and equipment schedules
- Strong understanding of purchasing, lead times, deliveries and installation coordination
- Excellent organizational skills and attention to detail
- Able to manage multiple active projects and changing priorities
- Strong written and verbal communication skills
- Confident following up with suppliers, contractors and internal departments
- Proficient with Microsoft Outlook, Excel and Word
- Experience with AutoQuotes, Bluebeam, project-management or ERP software is an asset
- Able to work independently while remaining accountable to the project team

Position Details: Job Type: Full-time, permanent
Reports to: Projects Team Manager
Salary: $60,000 to $75,000 per year, based on experience
Schedule: Monday to Friday, 8-hour shift
Location: In person at Nella Toronto, 148 Norfinch Drive, Toronto, Ontario
