Reporting to Sr. IDD Manager, the Document Control Coordinator will be responsible for the processing, issuing, reproduction and filing of engineering and construction documents to ensure accuracy and timeliness.What You’ll DoResponsible for the functioning and utilization of the document control system for the projectAccountable for maintaining project distribution matrix within the Electronic Document Management System (EDMS)Assist in providing training and support to new project team members regarding appropriate document control practices and on the EDMSIdentify and escalates processing or other system issues to the Document Control Manager in a timely mannerIdentify opportunities for continuous process improvement and monitor for new and emerging software solutionsAssist in maintaining the reporting system to track all NCR’s, CAR’s, RFI’s, Change Requests and other documentation deemed critical by the project from start to finishAssist project teams with creating and developing reports in EDMS systemUsing the EDMS, assist in the preparation of the end of project reportUsing the EDMS, assist in creation/communication/implementation and maintenance and auditing of all required contract submittalsUsing the EDMS,



assist in maintaining a reporting system to track by originator all RFI’s through the key milestones of their lifecycleEnsure the receipt, capture, control and access of all project documentsAllocate project document/drawing numbers as required per guidance of Project Management, Project Agreement, and/or Client requirementsResponsible for achieving and maintaining a high level of accuracy in capturing meta‑data in both the project and client EDMS in accordance with procedures and requirements for metadata for reporting/auditingAssist with the coordination of the metadata and the process of storage for documents into the EDMS system by all internal and external partiesEnsure achievement of established turnaround specifications from receipt of requests into document control to completion of processing and distributionAssist with post‑construction document archival / retention including as per Project Agreement specificationsWhat You Bring To The TeamPost‑secondary education – Bachelor’s Degree or College Diploma preferred, or equivalent experienceA minimum of 2‑5 years document control experience in a construction project/site environmentGreat time management and leadership skillsPrior experience using electronic document management (Autodesk Construction Cloud, Aconex and/or Unifier preferred) as well as processing both design and vendor documentationProficient in electronic file management (e.G.,



Explorer and WinZip)Intermediate to advanced knowledge of Portable Document Format software such as Adobe Acrobat, BluebeamIntermediate working knowledge of MS Office Applications such as: MS Project; Excel; Word, Outlook, Visio, PowerPointAbility to accurately and efficiently set up, create and maintain documentation metadataAbility to interpret and implement processes, procedures, workflows and standardsAbility to document work tasks (work instructions)Experience working in a site / project team setting with the proven ability to build relationships with immediate and remote team members, clients, etc.Excellent written and verbal communication skillsExceptional organizational skills, with a proven ability to meet deadlines in a fast‑paced environmentFamiliar with EDMS systems such as Autodesk Construction Cloud, Aconex and/or UnifierPay Range: $70,000 – $80,000Aecon fosters diversity, inclusion and belonging within and across our organization.
