In this role, you will be the operational backbone that keeps vendor programs, communications, and activities running smoothly.You’ll work closely with Vendor Managers, Sales, Marketing, and Operations to coordinate vendor initiatives, manage logistics, maintain accurate data, and ensure execution excellence across promotions, product launches, training, and reporting.This is an ideal opportunity for someone who thrives in a fast-paced, collaborative environment and enjoys turning plans into action.Job Duties / ResponsibilitiesVendor Coordination & CommunicationAct as a day-to-day point of contact for vendor coordination and communicationSchedule and coordinate vendor meetings, including agendas, materials, and follow-upsManage information flow between internal teams and vendor partnersTrack action items and elevate issues when neededOperations & Process ExecutionSupport Vendor Managers by coordinating timelines, deliverables, and workflowsMaintain vendor trackers, dashboards,
and documentationEnsure processes are followed and deadlines are metDemo Equipment CoordinationArrange ordering of demo equipment from vendors and manufacturersCoordinate allocation and distribution across sales teams and eventsTrack demo inventory, usage, and availabilityManage logistics including shipping, returns, and lifecycle trackingMarketing Funds (MDF) & Program SupportTrack MDF/co-op balances, usage, and activity statusEnsure documentation and compliance requirements are metSubmit claims and follow up on reimbursementsCoordinate execution of vendor-funded activitiesProduct Launches, Promotions & EventsSupport new product launches, including system setup and training coordinationAssist with execution of promotions, campaigns, and vendor programsOrganize and support tradeshows, events, and sales initiativesMaintain promotion calendars and ensure timely executionPricing & Data ManagementMaintain and update vendor price lists across systemsEnsure pricing accuracy and communicate updates internallySupport data collection for pricing and performance analysisIdentify and flag discrepancies for resolutionVendor OnboardingSupport onboarding of new vendors, including system setup and product data entryCoordinate onboarding training and internal communicationsEnsure all required documentation is completed and organizedLead & CRM Coordination (HubSpot)Ensure vendor-related leads are entered, assigned,
and tracked correctlyMonitor follow-up activity and lead flowTrack basic performance metrics and flag data quality issuesTraining & Sales Enablement CoordinationCreate and maintain a vendor training calendar for Inside Sales and Sales teamsSchedule and coordinate training sessions (logistics, invites, materials)Track attendance and maintain training recordsSupport training tied to promotions and product launchesSales & Commercial SupportAssist with contract documentation and trackingTrack rebates, special pricing agreements (SPAs), and vendor programsSupport communication between Sales, Vendor Managers, and OperationsAssist with inventory and supply updates as neededReporting & Business Planning SupportPrepare vendor reports, dashboards, and scorecardsSupport data preparation for business reviews (monthly and quarterly)Track progress against vendor targets and initiativesWhat You BringRequired2+ years of experience in coordination, operations, administrative, or support roleStrong organizational and time management skillsHigh attention to detail and ability to manage multiple prioritiesStrong communication skills and ability to work cross-functionallyProficiency with Microsoft Office (Excel, PowerPoint, Outlook)PreferredExperience in a B2B setting (technology, distribution, or vendor programs)Familiarity with CRM systems (HubSpot preferred)Experience coordinating events, promotions, or training initiativesExperience working with vendors, suppliers, or partner programsCompensationExpected Compensation: $50,000 - $70,000 per year.
