Objective: The Contract Management Specialist is responsible to oversee the full contract lifecycle across the organization. This role will be responsible for tracking all contract stages - from initiation and negotiation through execution, ongoing compliance, payments, deliverables, renewals, and archival - to ensure contracts are executed efficiently, managed centrally, and aligned with corporate policies. Key Responsibilities: Data Management (65%): Oversee end-to-end contract lifecycle management: draft, review, coordinate approvals, facilitate signatures, manage renewals/amendments, and termination processes Organize and maintain a centralized repository of executed contracts, amendments, correspondence, and payment schedules in SharePoint Maintain organized contract files in SharePoint, including version tracking, expiry monitoring, and proper tagging for easy access and retrieval Coordinate with stakeholders across Finance, Legal, Procurement, Operations, and HR to clarify terms, approvals, obligations, and timelines Monitor contract compliance and performance, including tracking deadlines for deliverables, renewals, and financial obligations; support audits and compliance reviews as required. Responsible for Request for Proposals, including coordination with originating department, consolidating information and assisting in evaluations of proposals. Analyzing and Planning (20%): Manage invoice/payment tracking tied to contractual terms - validate invoices, issue payment schedules, flag discrepancies, and liaise with Finance/payables Prepare regular status reports and dashboards for Finance leadership: expiring contracts, upcoming renewals, active obligations,



and risk areas Identify and flag potential risks or gaps in contract terms (e.G. liability, insurance, termination notice, performance metrics), escalating as appropriate General (15%): Develop and maintain standard operating procedures, checklists, and templates for contract reviews and lifecycle management Act as a resource to train internal teams on contract process best practices and SharePoint usage for contract filing and retrieval Education/Work Experience: Diploma relevant to Accounting, Finance, or Business or relevant job experience Over 1, up to and including 3 years experience in a related field preferably within an Indigenous organization Minimum 1 year of experience in contract administration, procurement, or contract lifecycle management Demonstrated expertise in SharePoint (or equivalent document management systems) for contract repository and version control Attention to detail and accuracy Organizational skills Confidentiality Time management Knowledge of Accounting Standards for not-for-profit organizations (ASNPO) Understanding of accounting cycles Proficiency in Microsoft Office suite (especially Word and Excel) and basic reporting/dashboard tools; familiarity with contract management software a plus Understanding of data collection principles Proficient business communication skills both written and verbal. Proven track record of managing high volumes of contracts with accuracy and consistency Experience with process improvement or automation,
