- Current Work Location Arrangement: Fully On-site: The position requires 100% in office placement; it is operationally dependent based on established criteria. Remote work is not an option.
- Salary: $26.55 – $30.56 /hour (as per CUPE collective agreement)

Position summary:

Reporting to the Administrative Assistant, the Office Assistant (OA) provides a variety of support services necessary to the efficient functioning of the assigned division in accordance with the agency’s policies and requirements. Office Assistant positions are categorized according to primary assignment areas. These primary assignment areas are designated as: Intake, Division, Data, and District Offices. The primary assignment areas and duties/tasks may be redefined, as needed, to reflect changing priorities and work functions.

In order to contribute to the overall, efficient functioning of the agency, all Office Assistants are expected to perform tasks and to provide assistance, as required, in any of the primary assignment areas. This position description represents the generic duties/responsibilities of, and qualifications for, all Office Assistant positions.

Responsibilities:

- Acting as first point of contact for the public who call or visit Public Health Sudbury and Districts. For example, you will answer the telephone, greet clients, and handle materials to be picked up and dropped off.
- Book appointments using various booking software.
- Ability to communicate clearly, appropriately, and effectively with the public in a courteous and tactful manner.
- Demonstrate effective problem solving, conflict resolution,



negotiation, and mediation skills.
- Ensure confidentiality and security of information at all times.
- Demonstrate organizational and multi-tasking skills, accuracy, and attention to detail.
- Strong interpersonal, organizational and computer skills.
- Meticulous record maintenance skills with the ability to maintain filing systems.
- Ability to work cooperatively and effectively with team members and other staff.

Requirements:

- Successful completion of a post-secondary certificate or diploma in Office Administration or similar discipline or equivalent in education and experience.
- Proficiency in French is an asset.
- Minimum of one-year relevant experience.
- Incumbent will be a designated First Aid Responder. Prior to start date, at the incumbent’s own cost, they are required to obtain current certifications in the following:
- Emergency First Aid
- CPR – Health Care Provider/Basic Life Support + AED

- Naloxone administration training will be provided by the agency.
- Experience in SharePoint considered an asset.
- Keyboarding skills of 50 words per minute.
- Ability to work with minimal supervision.
- Ability to provide two acceptable identity documents in order to be enrolled/registered in eHealth Ontario (acceptable identity documents).
- Ministry of Labour “Worker Health and Safety Awareness in 4 Steps” training certificate is required.
