Reporting to the Financial Controller, the Accountant & Payroll Administrator will play a key role in maintaining accurate financial records, assisting with budgeting activities, and ensuring compliance with financial policies and procedures. The Accountant and Payroll Administrator will also support the Payroll Lead with payroll administration. It’ll take courage, collaboration, innovation, resilience and trust.

The responsibilities:
General Accounting
- Lead the preparation and review of monthly bank reconciliations, investigating and resolving reconciling items, ensuring timely completion, and reviewing the work of junior accounting staff for accuracy and compliance with accounting policies.
- Investigate financial discrepancies and partner with internal stakeholders to resolve issues, provide guidance on financial processes and controls, and recommend corrective actions to mitigate future errors.
- Prepare and review journal entries, accruals, and adjustments, and coordinate assigned month-end close activities to ensure accurate and timely financial reporting.
- Perform complex balance sheet reconciliations, analyze variances, investigate discrepancies, and recommend corrective actions to ensure completeness and accuracy of financial records.
- Monitor accounts payable processes, investigate exceptions, and collaborate with stakeholders to ensure timely payment processing and compliance with organizational policies.
- Review and reconcile corporate credit card transactions, identify policy compliance issues, and recommend corrective actions where required.
- Maintain organized financial records and supporting documentation.
- Assist with internal and external audit preparation by providing financial reports and documentation.
- Support GST/HST filings and other tax-related requirements.
- Assist with other accounting projects and duties as assigned, including process reviews, system enhancements, and implementation of best practices to support a two-entity structure
- Maintain central repository of vendor agreements and the vendor contract register.
- Support procurement activities, including Requests for Proposals (RFPs), obtaining quotations, and vendor sourcing initiatives.
- Provide backup support to the Accounts Payable Specialist as required.
- Recommend improvements to internal processes to support our two-entity structure
Payroll Accounting & Administration
- Reconcile payroll, salaries, and employee benefit information.
- Download,
organize, and maintain payroll journal and reporting files.
- Prepare bi-weekly payroll journal entries.
- Run and file payroll timecard reports after each payroll cycle.
- Maintain employee payroll documentation and electronic personnel files.
- Update records for terminated employees, including filing and contact information.
- Verify Records of Employment (ROEs) have been accepted by Service Canada through ADP.
- Assist with other related payroll administration and compliance activities.
The qualifications:
- Bachelor's degree or diploma in Accounting, Finance, or a related discipline.
- Minimum of three (3) years of progressive accounting experience.
- Strong knowledge of accounting principles, bookkeeping, and financial reporting.
- Experience with accounts payable, accounts receivable, payroll, bank reconciliations, and general ledger reconciliations.
- Experience using accounting software and ERP systems.
- Advanced proficiency in Microsoft Excel and strong working knowledge of Microsoft Office.
- Excellent analytical, organizational, and problem-solving skills.
- Strong attention to detail with a high degree of accuracy.
- Ability to prioritize multiple deadlines in a fast-paced environment.
- Strong communication and interpersonal skills with the ability to work collaboratively across departments.
- High level of professionalism and commitment to maintaining confidentiality.
Preferred / Advantageous:
- Experience supporting payroll processing is considered an asset.
- Enrollment in the CPA program is considered an asset.
