Advanced Pain Relief Clinic (APR) is a multidisciplinary healthcare clinic serving Kitchener-Waterloo and the surrounding region. We provide innovative, patient-centred solutions for people experiencing acute and chronic pain, mobility limitations, and reduced quality of life.

Our services include chiropractic care, physiotherapy, massage therapy, custom orthotics, knee bracing, spinal decompression, laser therapy, shockwave therapy, neuropathy care, and structured rehabilitation programs.

Role Description

Advanced Pain Relief Clinic is seeking a full-time, on-site Administrative Assistant for our Kitchener-Waterloo location.

This patient-facing position supports the clinic’s daily front-office and administrative operations. Responsibilities include:

- Welcoming patients and creating a professional, positive first impression
- Answering telephone calls and responding to patient inquiries
- Scheduling appointments and managing practitioner calendars
- Explaining clinic processes, services, and next steps clearly to patients
- Maintaining accurate patient records and completing data entry
- Preparing documents, correspondence, and clinical paperwork
- Processing payments and assisting with billing, insurance, and direct-billing documentation
- Coordinating with practitioners and clinical support staff to maintain efficient patient flow
- Following up with patients regarding appointments, recommendations,



and outstanding documentation
- Maintaining an organized, professional, and welcoming reception area
- Protecting patient confidentiality and complying with applicable privacy requirements The successful candidate will be warm, dependable, highly organized, and comfortable managing multiple priorities in a busy clinical environment. This role is well suited to someone who combines excellent administrative skills with confident, compassionate patient communication.

Qualifications

- Strong administrative and clerical skills, including scheduling, filing, document preparation, and accurate data entry
- Excellent telephone etiquette and professional written and verbal communication skills
- Strong organizational abilities, attention to detail, and time-management skills
- Ability to prioritize competing responsibilities and remain composed in a fast-paced environment
- Comfortable discussing services, answering patient questions, and supporting appointment follow-up
- Proficiency with Microsoft Office and general office technology
- Experience using Jane App, electronic medical records, or clinic-management software is an asset
- Ability to handle sensitive patient information professionally and confidentially
- A collaborative attitude and ability to work effectively with clinical and administrative team members
- Previous experience in a medical, rehabilitation, chiropractic, physiotherapy, or multidisciplinary clinic is an asset
- Experience with insurance billing or direct billing is an advantage
- High school diploma or equivalent required
- Post-secondary education in medical office administration, business administration, or a related discipline is preferred but not easential
