Reporting to the Director of Fire Services, the Administrative Officer I provides a broad range of administrative, operational, and program support services to the Fire Services Division. Working in a fast-paced environment, the successful candidate will play a key role in supporting divisional programs, training initiatives, stakeholder engagement, and information management activities. This position requires a high degree of professionalism, discretion, initiative, and the ability to work independently while managing competing priorities and maintaining the confidentiality of sensitive information.

Responsibilities include

- Provide administrative support to the Director of Fire Services, including the preparation of correspondence, reports, presentations, briefing materials, and other documentation.
- Maintain the control, security, and integrity of confidential and sensitive information and correspondence.
- Respond to inquiries from the public, fire service personnel, and other stakeholders in a professional and timely manner.
- Coordinate meetings, consultations, training sessions, and other events involving internal and external stakeholders.
- Administer and support special projects and initiatives on behalf of the Director.
- Prepare training materials and provide logistical and administrative support for Fire and Emergency Services Training Schools and regional training initiatives.
- Assist with the administration of provincial firefighter and student registration processes for International Fire Service Accreditation Congress (IFSAC) certification programs.
- Provide support to a province-wide network of regional fire service trainers.
- Assist in receiving, reviewing,



and verifying firefighter applications for certification testing proctor positions.
- Support the coordination and assignment of certification test proctors as directed by the Program Coordinator.
- Develop, maintain, and update information management systems used for tracking, reporting, and analyzing fire service training programs and activities.
- Monitor training program compliance, identify areas of concern, and recommend corrective actions where required.
- Provide input into the development and implementation of policies, procedures, standards, and best practices related to fire service programs and initiatives.
- Conduct surveys and information-gathering activities within the fire service community and compile results for management review.
- Maintain accurate records and update databases, spreadsheets, and information management systems, including the Fire Services Reporting Management System, AMANDA, and Microsoft Office applications.
- Assist with orders, licensing, and other programs administered by the Fire Services Division.
- Prioritize and organize workload independently while providing effective administrative support as the sole administrative resource in the office location.
- Perform other related duties as required.
