ADMINISTRATIVE STAFF SPECIALIST II (BAND LEVEL 7)

Division of BioMedical Sciences

Faculty of Medicine

(Full-time, Contractual to April 30, 2027)

DUTIES

Reporting to the Administrative Staff Specialist III and working as part of a collaborative team in the Division of BioMedical Sciences (BMS) office, the successful applicant will perform a variety of tasks, including coordinating financial, human resources, and administrative responsibilities. The ideal candidate will demonstrate initiative, sound judgment, and discretion while effectively managing multiple priorities in a fast-paced environment. Duties include assisting with reconciling, verifying, and monitoring operating and grant-funded accounts; generating financial reports from Banner; coordinating human resources activities including recruitment, screening applicants, participating in interviews, and onboarding new employees; liaising with faculty members and grant holders with recruitment and appointment documentation; processing employee and student leave, and time entry; maintaining electronic records and internal procedures manuals; identifying and recommending process improvements, and operational efficiencies; planning and coordinating divisional events and special initiatives; liaising with the Marketing and Communications Office regarding website and social media content; working with Media Services (HSIMS) to support the development of promotional materials; directly supervising administrative support staff, including coordinating workflow, assigning and monitoring tasks,



and providing guidance as required; providing coverage for the Administrative Staff Specialist III during periods of absence; ensuring all activities are carried out in accordance with established university policies, procedures, and standards; and performing other related duties as required.

Qualifications

Experience (3-5 years) in progressively responsible administrative positions; completion of a diploma in business, supplemented by coursework towards an undergraduate degree in business administration, public administration, or related field; or any equivalent combination of experience and training. The ideal candidate will possess strong organizational, analytical, communication, and interpersonal skills, with the ability to exercise independent judgment, manage competing priorities, and work effectively both independently and as part of a team. Advanced proficiency in Microsoft Office applications, particularly Excel and Word, is required.

Experience supervising staff, supporting recruitment, working with confidential information, Banner, electronic document management systems, and university administrative processes are considered assets.

SALARY $61,099 - $71,679 per annum (Non-Bargaining)
