Role Purpose

The Part-Time Compliance and Documentation Support Assistant will provide entry-level support to ABCS in strengthening compliance documentation, audit readiness, file organization, data accuracy, and internal process tracking. This role is designed to support Senior Management with compliance-related documentation and process development, particularly in relation to CAC, ACDS, SLALA, AHS, and PDD requirements. The role will also support HR and Operations with data audit, file digitization, document organization, and audit-ready record management where directed.

The position is intended to provide structured administrative and compliance support while helping ABCS build stronger systems, cleaner records, and more consistent documentation practices across departments.

Key Responsibilities

Compliance Documentation Support

1. Support the preparation and organization of ACDS CET Level 1 documentation, with the submission due to ACDS in January 2027.
2. Assist in ensuring ACDS-related records are properly compiled, organized, and retained in ABCS’ internal archives.
3. Support the review, formatting, tracking, and organization of documents required for compliance submissions and internal quality assurance.
4. Work with Rekha to identify missing, incomplete, outdated, or unclear compliance documents requiring follow-up.
5. Maintain organized records of compliance documents, checklists, evidence folders, and supporting materials.

CAC and Audit-Readiness Support

1. Support monthly review of compliance documents, including selected client files and HR files, from a CAC audit-readiness lens.
2. Assist in identifying documentation gaps, missing evidence, expired documents, incomplete forms, or records requiring correction.
3. Maintain a tracker of documentation gaps and follow-up items, as directed by the reporting manager.
4. Support the organization of evidence required for audits, reviews, accreditation activity, and internal compliance checks.
5. Assist in preparing documentation summaries, file review notes, and follow-up lists for internal review.

Compliance Checklist Development

1. Assist in preparing a holistic compliance checklist covering CAC, SLALA, ACDS, AHS, and PDD requirements.
2. Support the separation of the checklist into department-specific sections so each department manager has clear monthly and quarterly items to monitor.
3. Help organize checklist items by frequency, owner, evidence required, due date, and follow-up status.
4. Support the development of simple tracking tools to monitor completion of recurring compliance requirements.
5. Work with Rekha to refine, update, and maintain compliance checklists as organizational needs evolve.

CAC Site Visit Follow-Up

1. Work with Compliance to develop and implement processes that incorporate the inputs, observations, and recommendations received from CAC during the site visit.
2.



Support the documentation of CAC follow-up actions, assigned owners, target dates, and completion status.
3. Assist in organizing evidence to show how CAC feedback has been reviewed, actioned, and embedded into internal processes.
4. Support the preparation of department-specific follow-up lists arising from CAC findings or recommendations.
5. Help maintain an organized record of completed remediation actions and process improvements.

HR Data and File Support

1. Support HR with data audit, clean-up, and reconciliation of contractor records.
2. Assist in identifying incomplete, inaccurate, duplicated, expired, or missing HR data.
3. Support the digitization, organization, and naming of HR files in line with ABCS documentation standards.
4. Assist with audit-ready HR documentation, including file organization, evidence tracking, and document completeness checks.
5. Support HR in preparing file-readiness trackers, compliance summaries, and follow-up lists where required.

Client File Digitization Support

1. Support the digitization and organization of client files where appropriate and where directed by Operations or the relevant operational lead.
2. Ensure client documentation is handled confidentially and only within the scope of assigned duties.
3. Assist with organizing client-related documents into approved folders, trackers, or systems as directed.
4. Escalate any missing, unclear, outdated, or incomplete client documentation to the appropriate operational lead.
5. Maintain confidentiality and professionalism when handling client, contractor, HR, and organizational records.

Process and Administrative Support

1. Support the creation of simple templates, trackers, checklists, filing structures, and documentation tools.
2. Assist with follow-up on assigned documentation actions, as directed by the reporting manager.
3. Maintain accurate working notes, action logs, and progress updates on assigned tasks.
4. Provide regular updates to Rekha on progress, gaps, barriers, and completed work.
5. Support cross-functional documentation work involving Compliance, HR, Operations, Training, and Client Care Services where appropriate.
6. Complete additional work aligned with the role and reasonably assigned by the reporting manager.

Scope and Limitations

This is an entry-level compliance and documentation support role. The contractor is not responsible for making final compliance decisions, approving client-care documentation,



interpreting regulatory obligations independently, or issuing formal organizational direction. The role is expected to support documentation, tracking, organization, data clean-up, and process implementation under the guidance of Rekha and other designated leaders.

Any concerns identified through file review or documentation work must be escalated to the reporting manager or relevant department lead for review and decision-making.

Required Skills and Competencies

4. Ability to follow instructions and complete assigned tasks accurately.
5. Basic understanding of compliance, audit readiness, or quality documentation.
6. Strong written communication skills.
7. Ability to maintain trackers, checklists, and file records.
8. Ability to identify missing or incomplete information and escalate appropriately.
9. Comfortable working with digital files, folders, spreadsheets, and documentation systems.
10. Ability to manage assigned tasks within agreed timelines.
11. Willingness to learn compliance frameworks such as CAC, ACDS, SLALA, AHS, and PDD.
12. Ability to work collaboratively with HR, Operations, Compliance, and Client Care teams.

Preferred Skills and Experience

1. Previous administrative, compliance, HR, data, or documentation support experience.
2. Experience working with spreadsheets, trackers, Microsoft Office, SharePoint, OneDrive, or similar systems.
3. Exposure to file audits, document control, quality assurance, or compliance checklists.
4. Familiarity with disability services, healthcare, social services, or community care environments.
5. Ability to support structured project work with supervision.
6. Interest in compliance, quality assurance, data management, or organizational process improvement.

Expected Outputs

The contractor will be expected to support the delivery of:
1. Organized ACDS CET Level 1 documentation.
2. Monthly compliance file review trackers.
3. Draft holistic compliance checklist covering CAC, SLALA, ACDS, AHS, and PDD.
4. Department-specific compliance checklist drafts.
5. CAC follow-up action trackers.
6. HR data audit and clean-up support.
7. Digitized and organized HR files.
8. Support for client file digitization where directed.
9. Documentation gap summaries.
10. Weekly or periodic progress updates to the reporting manager.

Confidentiality and Qualified Conduct

The contractor will have access to confidential HR, client, compliance, and organizational records. All information must be handled with strict confidentiality and only used for the purpose of completing assigned work. The contractor must not share, copy, remove, disclose, or discuss confidential information unless authorized by ABCS leadership and required for the assigned work.
