Project Coordinator

Position Details

Employment Type: Part-time, 18-month contract.

Schedule: 21 hours per week, worked over three days

Compensation: $22 per hour

Winter Break: Two weeks off during the winter holiday period

Position Summary

Reporting to the Project Manager, the Project Coordinator provides administrative and operational support to ensure the successful delivery of DESTA’s projects and funded initiatives. This role coordinates day-to-day project activities, maintains documentation, schedules meetings, tracks action items, and supports communication among internal teams and external stakeholders.

The Project Coordinator helps projects run efficiently by keeping information organized, monitoring deadlines, and ensuring project teams have the resources and coordination needed to complete their work.

Key Responsibilities

- Project Administration
- Maintain project files, documentation, templates, and shared resources.
- Update project trackers, calendars, work plans, and action logs.
- Organize project documentation and ensure records remain accurate and current.
- Prepare meeting agendas, record minutes, and distribute follow-up actions.
- Coordination & Logistics
- Coordinate project meetings, workshops, training sessions, and stakeholder engagements.
- Schedule meetings and manage project calendars.
- Coordinate logistics, including venue bookings, materials, travel arrangements, and participant communications, as required.
- Follow up with team members to gather updates and confirm the completion of assigned tasks.





Communication & Team Support

- Serve as the primary administrative contact for day-to-day project coordination.
- Support communication among the Project Manager, internal staff, partners, consultants, and vendors.
- Prepare presentation materials, briefing notes, and project correspondence.
- Assist with onboarding new project team members by organizing relevant resources and documentation.

Monitoring & Reporting Support

- Collect project information and supporting documentation from team members.
- Update project dashboards and status trackers.
- Compile information for reports, funder updates, and presentations prepared by the Project Manager.
- Flag overdue tasks, missing documentation, and scheduling conflicts for the Project Manager’s attention.

Qualifications
- Diploma or bachelor’s degree in Business Administration, Project Management, Office Administration, Communications, or a related field, or an equivalent combination of education and experience.
- 1-3 years of experience in project coordination, administration, or office operations.
- Exceptional organizational and time-management skills.
- Solid written and verbal communication skills.
- Close attention to detail and accuracy.
- Proficiency in Microsoft Office and project management software.
- Bilingualism in English and French is considered an asset.
