Position: Industrial Mechanical Project Coordinator
About the Role
We are seeking an experienced Industrial Mechanical Project Coordinator to support the planning and execution of industrial construction, installation, maintenance, and commissioning projects.
The successful candidate will have solid practical knowledge of industrial mechanical systems and experience coordinating field activities, subcontractors, materials, equipment, schedules, costs, and project documentation.
Working closely with project managers, engineers, field supervision, trades, suppliers, subcontractors, and clients, the Project Coordinator will help ensure projects are completed safely, efficiently, within budget, and in accordance with the project schedule, drawings, specifications, and quality requirements.
This role is preferably based in Eastern Newfoundland. Qualified candidates from other locations may be considered, provided they are available to travel to the office and project sites as required.
Key Responsibilities
· Coordinate industrial mechanical projects from planning and procurement through installation, commissioning, closeout, and turnover.
· Support project managers with project schedules, budgets, cost tracking, forecasting, procurement, documentation, and progress reporting.
· Coordinate mechanical trades, subcontractors, suppliers, equipment, materials, and site activities.
· Review mechanical drawings, P&IDs;, specifications,
equipment layouts, vendor drawings, work packages, and scopes of work.
· Assist with material take-offs, purchasing, purchase orders, subcontract administration, expediting, and material tracking.
· Monitor project progress and identify schedule, labour, material, equipment, quality, cost, and technical risks.
· Coordinate with clients, consultants, vendors, field crews, subcontractors, and internal departments to resolve project issues.
· Prepare and maintain project schedules, work plans, work orders, meeting minutes, progress reports, procurement logs, and other project documentation.
· Track RFIs, submittals, change orders, field instructions, deficiencies, NCRs, and other project-related items through resolution.
· Review subcontractor progress and support the verification of quantities, invoices, and completed work.
· Participate in site visits, inspections, client meetings, coordination meetings, and progress meetings.
· Assist with the preparation and coordination of inspection and test plans, quality records, commissioning documentation, and turnover packages.
· Help ensure work complies with approved drawings, specifications, applicable codes, quality standards, contractual requirements, and site safety procedures.
· Support mechanical installation and commissioning activities involving piping, pumps, rotating equipment, conveyors, process equipment, and material-handling systems, as applicable.
· Assist with project closeout, including deficiencies, as-built documentation, operation and maintenance manuals, warranties, and final turnover.
· Provide practical mechanical coordination and problem-solving support throughout the project lifecycle.
· Perform other project-related duties as required.
Qualifications and Experience
· At least five years of experience in industrial construction, mechanical contracting, maintenance, fabrication, or project coordination.
· Strong practical knowledge of industrial mechanical equipment, installation methods, and construction sequencing.
· Experience reading and interpreting mechanical drawings, P&IDs;, specifications, equipment layouts, vendor drawings, and scopes of work.
· Experience coordinating trades, subcontractors, suppliers, materials, equipment, and project schedules.
· Experience with procurement, cost tracking, change management, and project documentation.
· Strong organizational and time-management skills, with the ability to manage multiple priorities and meet deadlines.
· Strong written and verbal communication skills.
· Demonstrated ability to identify problems, coordinate solutions, and follow issues through to completion.
· Proficiency with Microsoft Office, particularly Excel, Word, and Outlook.
· Experience with Bluebeam, AutoCAD, Microsoft Project, Primavera P6, or similar project-management and scheduling software is an asset.
· A mechanical engineering technology diploma, mechanical trade certification, mechanical engineering education, or an equivalent combination of technical education and practical experience is preferred.
- · Knowledge of industrial safety, quality-control, commissioning, and turnover requirements is an asset.
