The Position The Payroll Administrator ensures that all aspects of the payroll cycle are processed in a timely and accurate manner in accordance with the Company, union and government policies, terms and regulations. A key contributor to the financial team.
Key Responsibilities
- Processes union and non-union hourly payroll including deciding the course of action, processing documents of new hires, terminations, rate changes, garnishments, and other data relating to employee records and payroll processing.
- Sets up and maintains employee information in payroll software and assists in ensuring the attendance system is up to date.
- Audits payroll in related software to guarantee data entry accuracy and ensures that policies and procedures are followed.
- Audits daily line-up sheets to ensure that overtime worked has been approved by operations.
- Monitors and processes appropriate forms for hourly employees, such as overtime, vacation, leave of absence, RRSP, sick pay, bereavement pay, etc.
- Processes and ensures accurate remittances are made to the appropriate external agencies.
- Administers and ensures terms and conditions are aligned with the collective agreement.
- Processes employees’ termination documents in an appropriate manner, generating Records of Employment (ROEs) to meet legislative timelines, calculates final pay and cancels benefits when required.
- Responds to inquiries in a timely and effective manner.
If an inquiry requires other assistance, redirects it to the attention of the appropriate party.
- Provides assistance and reports requested by various departments such as Accounting.
- Performs year-end payroll reconciliations (including T4, T4A).
- Improves the efficiency of payroll processes and practices; tests software upgrades and liaises with the payroll provider, making recommendations and problem solving issues that arise.
- Attends meetings as required and takes on additional responsibilities as required.
What You Bring
- Successful completion of Canadian Payroll Association PCP certification preferred.
- 5+ years’ payroll administration experience, or equivalent in education and experience.
- Experience with union hourly payroll desirable.
- Experience working with time and attendance systems, (Dayforce) preferred.
- Robust Knowledge of payroll theories, practices, legislation, resources and the Employment Standards Act.
- Strong working knowledge of Payroll.
- Strong computer skills including knowledge of word processing, spreadsheets, pivot tables, data based software, email and web browsers.
- Knowledge and understanding of the accounting process for payroll.
- Excellent verbal and written communication skills.
- Ability to exercise tact and discretion in dealing with sensitive and confidential information.
- Ability to work independently and take initiative.
- Proven ability to carry-out payroll procedures while exercising good judgment, analysis and decision-making
- Strong ability to define and solve problems; collect data, establish facts and draw conclusions.
- Extremely organized with a keen eye to detail and accuracy.
- Ability to work well in a team-oriented environment.
