POSITION OVERVIEW The Technical Administrator, Private Client Solutions provides crucial support in ensuring the efficient preparation and issuance of key insurance documents, including recent business documents, renewals, and Certificates of Insurance. Your strong organizational skills, diligence, commitment to maintaining relationships, and exceptional communication abilities will be vital in delivering seamless service to our valued clients and supporting the overall efficiency of the Private Client Solutions team.
This is a remote role with flexibility to work hybrid out of our Downtown office.
RESPONSIBILITIES:
Process Management
- Collaborate with the Director of Operations and the Private Client Solutions team to develop and optimize processes for servicing clients and the Private Client Solutions team efficiently.
- Process insurance documents within EPIC and various company portals, including declarations pages, policy wordings, extensions, endorsements, and more.
- Download and save documents from other insurers into EPIC, ensuring thorough document management.
- Handle all mid-term changes and transactions related to policies.
- Prepare statements of values as directed by the Account Executive.
- Provide support for certificate issuance as required
Internal & External Communication
- Maintain open communication and daily coordination with the Account Manager to effectively prioritize workload when necessary.
- Assist with rating on broker authority and retail markets through rating services within EPIC.
- Offer proposal support to enhance client communications.
- Establish and cultivate relationships with personal insurance underwriters.
Administration
- Execute various administrative tasks such as photocopying, printing, scanning, document binding, and formatting client documents, including letters.
- Be flexible to undertake other assignments as directed by your manager and provide support to other teams as needed and where capacity allows.
- Consistently meet deadlines to uphold operational efficiency.
Additional duties and responsibilities may be added during the course of employment.
Requirements:
- Previous administrative or technical support experience, particularly within the insurance industry, is an asset.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Previous experience using EPIC and Power BI is an asset.
- Strong organizational skills and keen attention to detail to accurately process insurance documents.
- Exceptional interpersonal skills to build relationships with colleagues, clients, and underwriters.
- Effective communication skills, both written and verbal, to ensure clear and efficient interactions.
- Ability to work collaboratively within a team and adapt to changing priorities.
- Flexibility to take on various tasks and assignments as needed.
- Demonstrated ability to meet deadlines consistently.
- Willingness to learn and adapt to new processes and technologies.

The salary range for this role is $45,000 to $50,000 per year. Compensation is determined by a combination of factors including a candidate’s experience, job-specific knowledge, and skills. Internal equity to ensure fairness across the organization and region/location is also considered.
