Responsibilities SWork closely with Sr. project managers and project managers to coordinate projects from award through design, procurement, production, shipment, and closeout.
Review project scope, drawings, specifications, contracts, and customer requirements to fully understand deliverables and coordination needs.
Oversee and perform material takeoffs using current drawings, specifications, and approved project information, ensuring accuracy and completeness.
Coordinate design information between clients, consultants, engineering, drafting, production, procurement, quality, and shipping teams to maintain alignment across all stakeholders.
Prepare, issue, track, and close requests for information (RFIs) and other project communications in a timely and organized manner.
Support procurement activities by preparing requests for quotation (RFQs), reviewing supplier pricing, preparing purchase requests or purchase orders, and tracking supplier delivery milestones.
Track procurement-related items, including RFIs, submission deadlines, and internal stakeholder expectations to ensure timely responses and decisions.
Coordinate production requirements, including drawing approvals, material availability, shop releases, fabrication priorities, and internal deadlines to support smooth workflow.
Review and monitor project schedules to ensure progress is maintained and critical path activities are achieved on time.
Track project deliverables, approvals, procurement items, production status, shipment dates, risks, changes, and closeout requirements, providing clear visibility into project status.
Maintain organized and up-to-date project records, including drawings, correspondence, RFIs, approvals, procurement documents, production trackers, shipping records, change documentation, and closeout files.
Coordinate logistics for shipments, including delivery sequencing, shipping documentation, carrier coordination, and customer or site delivery requirements.
Support project schedules by tracking milestones, preparing internal reports, and communicating project status to project managers and other stakeholders.
Support change order documentation, including pricing backup, schedule impacts, and client communication related to project changes.
Assist with project cost tracking, progress billing support, and preparation of schedule of values when required.
Support quality documentation and coordinate with production and quality teams to resolve project-specific requirements and issues.
Identify missing information, design conflicts, procurement constraints, production risks, and schedule impacts early, and bring them forward with proposed solutions.
Present clear, concise updates to project managers and management on project progress, risks, issues, and recommended actions.
Communicate regularly with clients and internal stakeholders regarding project documentation, schedule,
and coordination needs.
Participate in occasional site visits only when required for specific project coordination needs.
Essential Skills 1–3 years of experience in a project coordinator role within construction settings.
At least 1 year of experience handling project documentation, specifications, and drawings, and overseeing material takeoffs.
At least 1 year of experience working with RFIs, procurement tracking, production schedules, logistics, or document control.
Demonstrated ability to perform material takeoffs and maintain accurate project records.
Strong organizational skills, attention to detail, and ability to manage multiple priorities simultaneously.
Excellent planning, coordination, and time management skills.
Strong written and verbal communication skills.
Ability to coordinate effectively with internal teams, clients, suppliers, and logistics partners.
Experience with project coordination, document control, construction administration, and material takeoffs.
Proficiency with MS Office (basic level).
Experience using Adobe Acrobat.
Experience with MS Project.
Experience with Bluebeam or similar project/document management software.
Familiarity with 3D models and the ability to work with 3D modelling tools.
Exposure to Revit.
Exposure to AutoCAD.
Additional Skills & Qualifications Bachelor’s degree in Construction or Project Management, Engineering, Architecture, Building Science, or a related discipline is an asset.
Experience with Bluebeam or similar software for document review and markups.
Ability and experience with 3D modelling, regardless of specific software used.
Interest in developing into a project manager role within 2–3 years.
Ability to maintain long-term focus and grow into other roles as opportunities arise.
Experience working on residential, commercial, or institutional construction projects is an advantage.
Work Workplace This is an on-site position based in Abbotsford, working Monday to Friday from 8:00 a.m. to 5:00 p.m. with a 60-minute lunch break. Reliable access to a vehicle is needed, as public transit options are limited. Parking is available on site. The role involves primarily office-based work with coordination across engineering, drafting, procurement, production, quality, and shipping teams, using tools such as MS Office, Adobe Acrobat, MS Project, Bluebeam, Revit, AutoCAD, and 3D modelling software. Regular travel is not expected; site visits are rare and limited to specific project coordination needs. Job Type & Location This is a Permanent position based out of Abbotsford, BC.
Pay And Benefits The pay range for this position is $60000.00 - $70000.00/yr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
