Executive Assistant The Executive Assistant plays a pivotal role in supporting the Head of School and the Deputy Head with strategic and high-level administrative and operational duties. The role requires outstanding professional ability, mature judgment, and a thorough knowledge of school programs and organizational structure. The Executive Assistant also supports the Board of Governors and serves as the key point of contact for internal and external constituents, fostering strong relationships and contributing to the overall success of the Head’s Office. Responsibilities Assists the Head and Deputy Head with managing their administrative workload, including: Proactively manages high-volume, complex calendar scheduling; arranges meetingsand balances operational and long‑term strategic needs. Anticipates needs and plans accordingly for short‑and‑long‑term scheduling. Prepares the Head and Deputy Head for upcoming meetings by gathering instructions, documents, and agendas. Supports management of email, drafting responses and prioritizing communications. Creates, edits, and refines executive‑level documents, presentations, agendas, minutes, and supporting materials. Co‑ordinates travel arrangements, expenses, and reconciles expenditures. Compiles and summarizes details for speaking engagements, meetings, and events. Maintains document records and archives in accordance with the School’s Record Management system. Reviews important correspondence and drafts responses for the Head of School or Deputy Head when appropriate. Supports board governance by: Co‑ordinating and managing governance meetings, developing agendas, and capturing accurate minutes with decisions and action items. Ensuring compliance with Board governance practices, liaising with the Board Chair, Chief Financial Officer, and Executive Director of Human Resources. Communicating directly with Board members on behalf of senior leadership. General duties include: Attending Board of Governors meetings,



committees, and other school functions that may occur outside regular hours. Collaborating with other administrators on calendar, events, speaking engagements, and procedures. Liaising confidentially and professionally with students, employees, parents, governors, trustees, parent association co‑chairs, donors, and community stakeholders on behalf of senior leaders. Qualifications Bachelor’s degree in business administration or a related field (equivalent education and experience may be considered). Minimum of three (3) years of high‑level executive support experience; five (5) or more years preferred. Experience supporting an executive office and managing complex calendars, meetings, correspondence, and confidential materials. Advanced proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel) with a proven ability to produce accurate executive‑level materials and governance documentation. Polished interpersonal, verbal, and written skills to serve a broad variety of internal and external clients. Excellent judgment, confidentiality, discretion, and diplomacy when dealing with diverse school stakeholders. Ability to troubleshoot conflicts calmly with innovative solutions and a customer‑service focus. Strong organizational and time‑management skills.
